Job Summary: The Executive Secretary will be responsible for the day-to-day management of the Managing Partner’s office by providing highly professional administrative and secretarial support to the office.
Key Duties and Responsibilities:
- Handling Phone calls, internal and external communications for the Managing Partner’s Office.
- Managing and Coordinating Meetings for the Managing Partner’s Office and where required taking notes and minutes to Managing Partner meetings.
- Ensuring proper maintenance of functional files for the Managing Partner and the general office management.
- Preparation and consolidation of presentations and reports for Managing Partner.
- Ensuring the Managing Director’s office is in good working condition at all times i.e. computer, telephone and the entire maintenance of the office.
- Attending to customer complaints, enquiries to ensure that exchanged information to and from the office is accurate unbiased, enquiries are responded to.
- Overseeing procurement and fair allocation of resources to various departments
- Preparing plans for the purchase of equipment, services, and supplies
- Managing inventories and maintaining accurate purchase and pricing records.
- Assists in the selling of the avocado seeds and looking for potential customers for avocado seeds and paste
- Takes care of the company property and equipment
- Be responsible for all company buildings and their up-keep
- Performs any other duties that may be assigned from time to time by the High Authority of the company.
Qualifications, Skills and Experience:
- The applicant must hold a Professional Degree in Secretarial Studies / a Bachelor’s Degree in Business Administration or equivalent.
- A minimum of three years of work experience in a similar position in a busy office.
- Thorough knowledge and use of relevant computer software; e.g. excel, power point, word, email and internet.
- Strong written and verbal communication skills to draft, edit correspondence, speeches and reports.
- Extremely high levels of integrity, responsibility and confidentiality.
- Decision making skills and result oriented personality.
- High standards of performance and control of quality.
- High degree of initiative, priority setting and self-drive.
- Team building skills (initiative, decision making, dispute resolution, good customer service, very good negotiation skills).
