Job Title:   Administration Officer (Fresher NGO Jobs)

Organisation: Reach Out Mbuya Community Health Initiative (ROM)

Duty Station:  Kampala, Uganda

Reports to:  Finance & Administration Manager

 

About US:

Reach Out Mbuya Community Health Initiative (ROM) is a Faith and Community-based organization providing holistic care to extremely vulnerable people living with HIV/AIDS. ROM holistically focuses on the body, mind, family, and community wellbeing.

 

Job Summary: The Administration Officer will provide overall administrative management of activities inclusive of procurement, inventory, vehicle management, security, general administrative services based on ROM’s Operations manual

 

Key Duties and Responsibilities:

  • Ensure the offices are opened as required, hygiene maintained at the sites and offices are kept neat and clean.
  • Maintain ROM Consolidated asset register, ensure addition/deletions are done timely and assets are engraved, and advice on disposal & and administration of relevant organization contracts /leases.
  • Ensure all the ROM items are insured and manage insurance policies and claims.
  • Oversee effective use of vehicles and motor cycles and ensure appropriate maintenance as well as scheduling and fuel use monitoring.
  • Ensure staff files records are complete in accordance with institutional policies, all statutory documents/policies are signed/recorded in staff files, update staff lists on a monthly basis as required, leave registry & timesheets/time logs ensuring confidentiality & professional integrity.
  • Supervise routine maintenance and repairs of all equipment and premises of ROM as well as planning for the same, general office administration, payment of utilities, and adequate fuel for the site generators/vehicles.
  • Ensure timely staff appraisal.
  • Monitor the security of the office and safety of the items. Liaise with relevant authorities in case of any breach of security at the site.
  • Ensure monthly reports are accurately prepared and submitted on time for review before onward discussion and dissemination. Monthly reports include the donor financial reports and organization reports.
  • Support and observe the safeguarding culture in the organization regularly documenting and reporting identified and potential safeguarding issues to the HR.
  • Ensure health, safety, and security in your area of operation, as you promote the vision, mission and values of Reach Out Mbuya.
  • Any other duties assigned by the immediate supervisor

Qualifications, Skills and Experience:

  • The applicant should have relevant qualifications
  • Two years of experience in a similar position
  • Should have a professional demeanour
  • Excellent English skills (Oral and Written)
  • Ability to demonstrate the highest degree of confidentiality
  • Strong interpersonal skills and ability to work in a team-oriented setting
