Job Summary:  The Stores Officer will support the administration and procurement units to manage inventories and receiving goods from respective suppliers. The Store Officer will responsible as central receiver in Provision systems.

 

The jobholder will responsible to register all WV Uganda fixed assets and update the assets status in quarterly basis to management. This position would therefore suit someone who has strong technical experience in inventory or asset management, whilst also having good skills in operating Ms. Excel

 

Key Duties and Responsibilities:

Inventories and Fixed Assets Management:

  • Assist in conducting physical assets verification of ALL offices.
  • Gather and record asset details (brand, specification, serial number price etc)
  • Preparations for valuation of assets in line with procurement procedures.
  • Post consolidated asset repots to SUN systems database
  • Assist in preparation of assert viewing process.
  • Prepare bid documents for disposal with support from procurement
  • Ensure Assert & inventory reports are compiled, generated filed and shared with the different departments.

Central point for receiving and issuing of goods:

  • Provide internal and external customer care with support that reflects world Vision core values.
  • Responsible for receiving goods from respective suppliers and ensure that the items received are as per the purchase order.
  • Requesting the supplier to pick up defective items, or by arranging for transport to the supplier’s warehouse.
  • Items received should be properly serialized or coded and stored in specific areas of the store for ease of retrieval. The stores officer ensures that received items are well stored in a safe manner.
  • Perform the central receiving role in Provision and ensure timely submission of invoices to finance.
  • Updating bin cards and stock cards daily, signing them off and balancing with the quantities in the shelves and it is a continuous process.
  • Receiving, issuing and correctly locating items to the respective stake holders under appropriate stores regulations and documentation such store issue notes and proper signing in the store issue book in a consistent manner.
  • Recording of over/under deliveries in under delivery book
  • Engraving and recording of all assets before issuing them out.
  • Preparations for transportation of items to the field offices.
  • Each issued item should be properly documented for future reference and accountability.
  • Establish Just in time (JIT) system to mitigate storage risk

Store Management:

  • Stores well-arranged and organized.
  • Easy accessibility to items in store.
  • Tidy Stores conducive for working in.
  • Access controls in place and observed.
  • Monitoring the life span/expiry date of items kept in store
  • Sending out invitation to other departments to participate in the exercise.
  • Overseeing the physical stock count.
  • Compiling of data and translating into inventory at hand report.

Asset Disposal:

  • Receiving Items for disposal and quarantine them.
  • Compiling of disposal lists, forwarding them for review by relevant personnel and forwarding to the National Director for approval.
  • Preparations for valuation of assets in line with procurement procedures.
  • Ensure that appropriate method of disposal is utilized at any one time.
  • Assist in disposal exercise using the appropriate method
  • Ensure all related disposal costs are allocated and forwarded to Finance for appropriate actions

Coordination with projects:

  • Support clusters, ADPs and regions in stores procedures and guidelines for facilities management

Qualifications, Skills and Experience:

  • The ideal applicant must hold a Bachelor’s degree in Business Administration, Logistics and Supply Chain or any Business related field.
  • At least three-year relevant experiences in stores maintenance and inventory management
  • Strong technical knowledge in managing inventories with good background in computer skills of Microsoft Excel.
  • High integrity and proven commitment to accountability practices
  • Proactive personality, self-driven and strongly motivated.
  • Proven ability in the implementation of large-scale programs
  • Relationship management/networking, and coordination.
  • Spiritual maturity, interfaith knowledge and a biblical worldview – ability to articulate and model our Christian identity and mission in an inclusive way.
  • Good interpersonal skills, strong communication skills, both verbal and written.
  • Excellent management, analytical and negotiation skills
  • Strong information technology skills
  • The position requires ability and willingness to travel domestically up to 15% of the time, plus occasional international travel.
