Strathmore University Program Associate, Undergraduate Programmes Jobs in Kenya
Job Purpose:
- To provide the administrative support required in managing the Undergraduate Students
Main Duties and Responsibilities:
Admission
- Receive all application forms for prospective students from Admissions office and confirm general requirements are met
- Receive applicants on interview days and allocate them for oral interviews.
- Enter data of admitted students into AMS.
Orientation and Registration
- Assist the Programme Administrators in the material preparation for orientation of students.
- Address all issues relating to registration of students.
- Check and respond to online requests for registration of students.
Class Management
- Assist the Programme Administrator in ensuring smooth running of all classes and provide a weekly report during the first four weeks of each semester or trimester.
- Receive and file all class lists weekly.
- Monitor class attendance for all full-time students and communicate to the Programme Administrator any consistent absentees.
Debt Collection
- Print out the debtors list.
- Collect the IDs of the students, sort and return the IDs after retaining the defaulter’s IDs
- Send the defaulters’ IDs to the Programme Administrator
Parents Seminars
- Dispatch the letters/sms for the Parents’ seminars.
- Assist the School Administrators in the material preparation for the Parent’s seminars.
- Attend and organize the ushering during the Parent’s seminars.
Course Evaluation
- Create the Google form and match course evaluation forms to respective lecturers.
- Create a link to the course evaluation form 1st years on the respective e-learning portal for each course at the beginning of each semester.
- Monitor the online course evaluation portal and inform the Programme Administrators of the progress
- Collate the analysis of the course evaluation.
Customer Service
- Timely response to all verbal and online customer queries relating to full-time students.
- Attend to all visitors to the School and direct them accordingly.
- Respond to all general enquires relating to the school e.g., information on programmes, fees, etc.
- Monitor and respond to all online enquiries (bcomadmin@strathmore.edu; bfsadmin@strathmore.edu; bscmadmin@strathmore.edu email, the e-learning portals)
- Attend to all external phone calls and direct them accordingly.
- Administer and collate the analysis of the customer satisfaction survey each semester.
Records Management
- Receive all written correspondence from students, parents, other external parties and deliver accordingly.
- Issuance of all forms to students (special exams, appeal, transfer forms, academic leave forms, etc.) and receipt and onward transmission of the same
- Receipt and record of all claim forms from lecturers
- Reset passwords for students.
Timetabling
- Assist the Programme Administrator to assign rooms as per the timetable.
- Assist the Programme Administrator in timely resolution of any room conflicts.
Non-academic Student activities
- Check the system to confirm that the students have been mentored at least twice a semester; a month after registration and a month before exams and compile a report for the Programme Administrator.
- Follow up on the organisation of Student Mentoring and Coaching Seminars.
- Check what extracurricular activities the students participate in and compile a report for the administrator.
- Any other duties that may be assigned
Job Requirements
The post holder will be required to have and to demonstrate evidence of the following qualifications:
- Any bachelor’s degree
- No prior experience. Relevant Administrative experience will be an added advantage
