Duties
The incumbent combines two functions of secretary and administrative assistant in the General Services Office Leasing unit, which manages the inventory of all 294 USG leased and owned properties serving 32 USG agencies; assists in coordinating and planning the clerical and office support responsibilities, performing administrative and clerical duties, including ordering supplies using Department of State software; acts as the alternate Contracting Officer’s Representative on the garbage contract for all residential and office areas with a daily collection cycle and performs other related tasks in the management, administration, execution and oversight of the garbage contract.
Position will be supervised by Housing/Leasing Supervisor.
Qualifications and Evaluations Requirements:
Experience
At least two (2) years of progressive responsibility in office management is required.
Job Knowledge
Proficiency in Microsoft Suite computer application packages such as MS Office (MS-Word, MS-Excel, MS-Access, MS-Outlook, etc).
Basic accounting, management skills, Organizational skills and Customer service skills.
Education Requirements:
Completion of Secondary School
Evaluations:
Language
Level IV English (Fluent, Writing/Reading/Speaking) (This may be tested) is required.
Level III Swahili (Good Working Knowledge, Writing/ Reading/ Speaking) is required.
Skills and Abilities
Ability to plan, coordinate and monitor activities related to work performed by vendors at residences.
Must be able to possess good interpersonal skills as well as ability to provide excellent customer service.
Ability to be a team player and work congenially with colleagues, handle enquiries from mission staff, landlords, vendors with tack and courtesy.
Ability to work with minimum supervision and to take the initiative to follow-up on tasks and deadlines.
