Job Descriptions

Duties and responsibilities will entail:-

  • Recording dictation in shorthand and transcribing it in typewritten form; typing from drafts, manuscripts or recording from dictation machines;
  • Processing data; ensuring security of office records, equipment and documents, including classified materials; ensuring integrity and confidentiality of data;
  • Management of e-office;
  • Operating office equipment; managing of office protocol; coordinating travel arrangement and office itineraries;
  • Prepare schedules of meetings and appointments;
  • Ensuring security, integrity and confidentiality of office data;
  • Implementing and monitoring procedures for record keeping of correspondence and file movements;
  • Preparing responses to routine correspondence;
  • Maintaining an up to date filing system in the office; managing office protocol etiquette;
  • Managing office petty cash; supervising office cleanliness; handling telephone calls and appointments; and ensuring security of office records, documents and equipment.
  • Background in working in a law firm or busy legal office with basic knowledge of conveyancing is an added advantage
  • Handling litigation files on a day to day basis and bringing up matters coming up in court.
  • General Law office duties.

    Person Specifications

    For appointment to this grade, a candidate must have:-

  • At least five (5) years relevant work experience;
  • Kenya Certificate of Secondary Education mean grade of C- with at least C (Plain) in English or Kiswahili or its equivalent qualification from a recognized institution.
  • Bachelor’s degree in Secretarial Studies or Bachelor of Business and Office Management from a recognized institution;
    OR
  • Bachelor’s Degree in Social Sciences AND a Diploma in Secretarial Studies from a recognized institution;

    Business Education Single and Group Certificates (BES and GC) Stages I, II and III from the Kenya National Examinations Council in the following subjects:

  • Shorthand III (minimum 120 w.p.m.);
  • Typewriting III(50 w.p.m.)/Computerized Document Processing III;
  • Business English III/Communications II;
  • Commerce II;
  • Office Practice II;
  • Office Management III/Office Administration and Management III;
  • Secretarial Duties II;

    OR

  • Diploma in Secretarial Studies from the Kenya National Examinations Council;
  • Proficiency in computer applications; and
  • Fulfill the requirements of Chapter Six (6) of the Constitution.
