Job Descriptions
Duties and responsibilities will entail:-
- Recording dictation in shorthand and transcribing it in typewritten form; typing from drafts, manuscripts or recording from dictation machines;
- Processing data; ensuring security of office records, equipment and documents, including classified materials; ensuring integrity and confidentiality of data;
- Management of e-office;
- Operating office equipment; managing of office protocol; coordinating travel arrangement and office itineraries;
- Prepare schedules of meetings and appointments;
- Ensuring security, integrity and confidentiality of office data;
- Implementing and monitoring procedures for record keeping of correspondence and file movements;
- Preparing responses to routine correspondence;
- Maintaining an up to date filing system in the office; managing office protocol etiquette;
- Managing office petty cash; supervising office cleanliness; handling telephone calls and appointments; and ensuring security of office records, documents and equipment.
- Background in working in a law firm or busy legal office with basic knowledge of conveyancing is an added advantage
- Handling litigation files on a day to day basis and bringing up matters coming up in court.
- General Law office duties.
Person Specifications
For appointment to this grade, a candidate must have:-
- At least five (5) years relevant work experience;
- Kenya Certificate of Secondary Education mean grade of C- with at least C (Plain) in English or Kiswahili or its equivalent qualification from a recognized institution.
- Bachelor’s degree in Secretarial Studies or Bachelor of Business and Office Management from a recognized institution;
OR - Bachelor’s Degree in Social Sciences AND a Diploma in Secretarial Studies from a recognized institution;
Business Education Single and Group Certificates (BES and GC) Stages I, II and III from the Kenya National Examinations Council in the following subjects:
- Shorthand III (minimum 120 w.p.m.);
- Typewriting III(50 w.p.m.)/Computerized Document Processing III;
- Business English III/Communications II;
- Commerce II;
- Office Practice II;
- Office Management III/Office Administration and Management III;
- Secretarial Duties II;
OR
- Diploma in Secretarial Studies from the Kenya National Examinations Council;
- Proficiency in computer applications; and
- Fulfill the requirements of Chapter Six (6) of the Constitution.
