Terms of Reference: Event Coordinator
The Kenya Girl Guides Association (KGGA) is the largest and oldest girls and women only organizations in Kenya. The Association has been active in Kenya since 1922, is multi-racial, non-religious, non- political and non-profit-making organization that seeks to empower girls and young women to realize their fullest potential as leaders and responsible citizens of the world.
KGGA is seeking an Event Coordinator provide event for its centenary celebrations to be held in Nairobi, Kasarani Indoors arena in February 2022.
As a run-up to the main event, the organization has organized activities from February 2021 to February 2022 under the theme ‘AWAKENING HER POTENTIAL’.
Objective: To assist Kenya Girl Guides Association Centenary Celebration Committee in planning, coordinating, and ensuring professional and efficient hosting of the Centenary Celebrations
which is an international event.
The assignment duration is approximately 3 months starting mid-November.
The specific terms of reference for the Event Coordinator are detailed below:
1. Background
✓ KGGA Centenary Celebrations 2022
✓ Date to be advised
✓ Physical/ Hybrid Event
✓ This will be dependent on the COVID-19 Pandemic restrictions on large gatherings.
2. Objectives
✓ Commemorate Centenary Celebrations by KGGA
✓ Target audience is: KGGA Patron, International women leaders, Guides, Secretariat & Board, Government stakeholders, invited guests, friends and partners
3. Methodology
Provide oversight coordination of all aspects of the event planning and execution including:
✓ Coordinate the venue set up, decorations and guest registration and sitting arrangements.
✓ In conjunction with the centenary celebration committee generate a guests and speakers list; send out invitations and do follow ups on the confirmations.
✓ Arrange and manage appropriate VIP lounge and sitting arrangement on the main event venue.
✓ Plan and coordinate the 2 days Tamasha Celebration camp in Rowallan and Chief Guest Mentorship Talk at the Nairobi University Auditorium.
✓ Coordinate the transportation and logistics for guests and participants including ushering.
✓ With support from the centenary committee media and PR team coordinate the press releases, interviews, media briefings and releases.
✓ Attend and report progress in all Centenary Committee meetings
✓ Liaise and ensure that the PR and Media team compiles a comprehensive centenary report for pre and event proceedings.
4. Reporting
✓ To report to KGGA oversight Committee
5. Work plan
✓ Provide a summary of the anticipated work
✓ Describe The finance resources allocated to the project by providing a quote.
