Job Summary: The Programme Support Assistant will be supervising and coordinating the distribution of cash and food to beneficiaries, providing information to beneficiaries.
Key Duties and Responsibilities:
- Providing general administrative support to projects under the direction of the supervisor.
- Providing support to the verification and litigation team at the Food Distribution Points.
- Working with refugee leaders and different security teams at the FDP to ensure safety of beneficiaries, staff and properties.
- Providing support to the transporters delivering food at the Food Distribution Points
- Organizing Post Distribution Meetings at the end of each food and cash distribution
- Working with Food Management Committees, Causal workers and porters at the Food Distribution Point.
- Producing proposals, plans and reports.
- Organizing and maintaining project files and databases.
- Assist in monitoring the project budget, scheduling meetings and preparing presentations.
- With support of the supervisor, plan, organize and monitor distribution of food and cash to the beneficiaries.
- Facilitate the identification designing and implementing of appropriate training needs for distribution staff.
- Any other relevant duties assigned from time to time by the immediate supervisors
- Key output
- General administrative support provided to the project under the direction of the supervisor.
- Verification and litigation team are well coordinated during food/cash distribution.
- Safety of the beneficiaries, staff and properties at the Food/Cash Distribution Point is guarantee.
- All the stakeholders in food distribution participates in the Post Distribution meeting and the minutes of the meetings are shared with the stakeholders
- The Food Management Committees, Casuals and Porters comply with the processes and flow of food/cash distribution at the Food/Cash Distribution Point.
- Reports cases of food fraud and loss timely with evidence.
- Report food with questionable quality immediately before it being distributed to the beneficiaries.
- Proposals, plans, and reports produced.
- Project files organized and maintained project database.
- Project budgets monitored, meetings scheduled and presentations prepared.
- Technical queries responded to, high standard of client service maintained.
- Duties assigned by immediate supervisors performed.
Qualifications, Skills and Experience:
- The applicant should preferably hold a bachelor’s degree in project planning management or public administration or business administration with the option of project planning and management.
- At least three years of work experience in the same project or related is required.
- Computer skills in Microsoft Word, Excel and Power Point
- Excellent communication skills, such as writing, listening and speaking,
- Good planning and negotiating and report writing skills.
- Behavioral: Must be influential, the ability to focus on multiple tasks at the same time, very good public relations, patience and emotional intelligence.
