Future Options Consulting Ltd is an online recruitment services which now seeks to recruit on behalf of its valued Client in the hospitality / hotel business.
Key Duties and Responsibilities:
- Ascertaining and noting client’s exact needs when discussing the details of functions with clients.
- Guiding clients on the merits of the various facilities available.
- Ascertaining the client’s choice of menu, beverages, entertainment, table plans, equipment etc.
- Making reservations in liaison with the Reservations Department
- The jobholder will be drawing up of contracts and ensuring they are signed and deposits are paid
- Obtaining rooming lists, checklists, deposits, vouchers or order and payments for all functions prior to check-in
- Providing Front Office with copies of all documentation and handover 24 hours prior to check-in
- Compile weekly function sheets/banqueting schedules and updating daily as required ensuring that all relevant departments (GM, Housekeeping, FB, etc.) are informed of any changes
- Tasked with interviewing GUESTS for quality control and feedback
- Do telesales to database in order to maintain good relationships with CLIENTS
- Administration prior and after each event
- Securing all inquiries and tentative bookings
- In charge of monitoring all provisional and confirmed function bookings to ensure that no double bookings occur and that the use of facilities and revenue is optimized.
- Prompt, courteous response and follow up is made to all enquiries.
- All work to be carried out in an organised and efficient manner taking into account work priorities and laid down procedures.
- Work closely with clients at least one week before the function to finalise and confirm the arrangements.
- Accurate billing for the function is recorded and such information and supporting documentation is passed to the Accounts Department for the correct billing of the client to be made.
- Maintaining effective communication, by attending meetings on a regular basis and ensuring that essential information required had been transferred to the relevant personnel.
- Informing the Departmental Manager of detail about activities, progress and results.
- Treating instructions of management constructively, and acting upon them.
Qualifications, Skills and Experience:
- The Banqueting Co-ordinator must hold a National Diploma in Hospitality/Food and Beverage Management or similar qualification would be advantageous.
- At least two years’ experience in a similar role
- Must be GUEST and service driven
- Ability to work accurately under pressure
- Excellent planning and organisational skills
- Good time management skills is essential
- Computer literacy skills i.e. proficiency in Micros, Opera, Word and Excel
- Excellent communication skills, both verbal and written
- Well-groomed, presentable and professional manner
