Job Summary: The Administrator will provide office and field administrative support to the team.
Key Duties and Responsibilities:
- Implement and maintain administration systems and ensuring that all administrative duties are maintained up to date within the office;
- Assist the directors in monitoring and following up on all matters related to farm operations;
- Ensure that all services are delivered to the relevant customers in a defined timeframe and all relevant paperwork is processed for sales and purchase invoices;
- Deal with all customer queries and ensure that all administrative matters are dealt with in an efficient and timely manner;
- Deliver a high level of customer service and professionalism with internal and external clients;
- Reconcile any discrepancies or errors identified by engaging with customers through answering questions and providing assistance to them as required;
- Actively participate in interviewing, induction of staff and carrying out staff appraisals in conjunction with HR;
- Answering incoming calls; taking messages and re-directing calls as required;
- Diary management and arranging appointments for farm visits;
- Maintaining and updating records of livestock to support planning;
- Ensure timely delivery from service providers;
- Ensuring that farm infrastructure and equipment are in a proper working conditions;
- General office management such as ordering stationary;
- Building and maintaining relationships with the service providers;
- Getting quotes for machinery and other items;
- Maintaining all employee records;
- Calculating salaries and ensuring that all payments are made on time;
- Providing administration support to Senior Management;
- Ensure that records of stocks movements are accurate and reconciled with physical livestock in/out of the farm.
Qualifications, Skills and Experience:
- The applicant must hold a bachelor’s degree in Business Administration or a related field;
- At least two years of proven working experience as an Administrator or in a relevant field
- Excellent Computer literacy in Microsoft applications;
- Strong attention to detail and confidentiality;
- Strong customer service and interpersonal skills;
- Ability to multi-task, prioritize, and manage time effectively;
- Ability to work under pressure and out of regular work hours;
- Problem solving skills;
- Ability to work both independently and in a team-oriented, collaborative environment;
- Excellent written and spoken English language skills.
