Makerere University Joint AIDS Program (MJAP) is a private-not-for profit Company under Makerere University. MJAP works to build partnerships and strengthen health systems to optimally respond to HIV/AIDS, TB, Non-communicable diseases (NCDs) and other diseases of public health importance in Africa. MJAP is implementing a sub-award grant from Infectious Diseases Institute (IDI), for accelerating HIV/AIDS Epidemic Control in Kampala region; with funding from the President’s Emergency Plan for AIDS Relief (PEPFAR) IDI Project).
Job Summary: The Stores Officer (IDI Project) will mainly receive, record, store and distribute supplies in accordance to MJAP’s policy Manual. The Stores Officer will be responsible for authorizing, reviewing, approving and ensuring proper usage and accountability for all stock items issued to the unit.
Key Duties and Responsibilities:
- Document, update all transactions in both the Manual and computerized system and maintain accurate stores records in line with MJAP stores Manual.
- Receive, recount, inspect the quality of all supplies and equipment purchased and process suppliers’ invoices and delivery notes.
- For bulk supplies, receive together with a designated Technical officer and sample at least one carton per batch to check for product description on the label, with regard to appearance, volume or weight.
- Reporting any discrepancies in quantity or quality immediately to the Supervisor.
- Issuing a gate pass authorized by the Head of Stores for all products leaving MJAP Stores, after verification of products/goods.
- Conducting a comprehensive stock taking exercise as per the Stores Management Manual; and check for drugs and supplies that have either expired or out of stock
- Generating consumption data for forecasting supplies and determining optimal storage capacity requirements and suitable locations for stock.
- Identifying supplies with short shelf life, and monitor stock levels to replenish drugs and supplies that have either expired or out of stock.
- In charge of documenting all warehouse product journals transactions in the stores management system and project procurement requirements.
- Work in close liaison with the Supervisor and Stock taking team Leader, conduct investigations of stock taking discrepancies and submit report to the Supervisor for further action.
- Ensuring that the stores have adequate functional fire extinguishers installed at accessible points and periodically refilled or serviced.
- Preparing Stock Summary monthly and quarterly reports, stock count reports and any other relevant reports as requested by Supervisor.
- The Custodian of all keys to the stores and keeping them safely in a lockable cabinet; and keeping all spare keys in a secure place.
- Mentor, coach and appraise performance of the Stores Assistant in line with Human Resource policy.
Qualifications, Skills and Experience:
- The applicant must hold a Bachelor’s Degree in Logistics and Procurement, Supply Chain management, Business Administration or its equivalent
- Certification in CIPS will be an added advantage
- Three years of experience in similar role or with logistics, inventory management with an NGO
- Proficiency in computer especially Excel, MS Word, presentation
- Strong knowledge and understanding of best practices in stores management processes
- Good communication and interpersonal skills
- Strong organizational, management and analytical skills.
- Ability to work independently, prioritize tasks and meet deadlines
- Keen attention to detail
