About US:

The Office of the Prime Minister (OPM) is the Leader of Government Business in Parliament and responsible for the coordination and implementation of Government Policies across Ministries, Departments and other Public Institutions.

Job Summary:  The Fleet Assistant will take the overall responsibility of the Fleet and Transport Unit under the supervision of the RDO in leading, coordinating and supervising all activities pertaining to the Desk Operation. This will involve managing the entire fleet cycle, which includes fleet service plus maintenance, fuel management, scheduling and route planning, driver management plus supervision among other tasks as assigned by the supervisor. Additionally, the Fleet Assistant will also support to the Logistics function.

Key Duties and Responsibilities: 

  • Coordinate, manage and support all the fleet management activities in the Desk Office.
  • Implement effective fleet management that regularly monitors the fleet pool, saves cost and safeguards the investment of the Desk.
  • Apply DOR’s fleet management strategy when preparing plans for purchase of important fleet assets. Conduct spend analyses using historical spend data to identify trends that can be used to plan procurement activities and Frame Agreements.
  • Plan for acquisition, maintenance and replacement of fleet assets. Develop local fleet management replacement strategies taking into account the Desk’s short and medium term requirements.
  • Coordinate activities of implementing partners and/or contractors performing fleet related activities, and ensure that they understand and adhere to relevant DOR rules and procedures.
  • Respond to field requests for information and advice and timely response to the field.
  • Support the Logistics function at the Refugee Desk Office as and when required.
  • Provide fleet management reports, customized reports, and gathers information on all fleet assets and provides in-depth reports periodically and when requested.
  • Monitor the quality and accuracy of fleet related data in relevant business systems. Compile and analyse statistical information, identify trends and developments in fleet related matters that will assist in decision making.
  • Disseminate, promote commitment to and monitor compliance with UNHCR’s global policies, standards and guidance on fleet management.
  • Any other duty assigned by the supervisor

Qualifications, Skills and Experience: 

  • Applicants should be holding either a Diploma in Stores Management or Supply Chain Management or a Diploma in Mechanical Engineering from a recognised University. A certificate in professional supplies and logistics studies is an added advantage.
  • A minimum of three (3) years of experience working in general logistics, including warehousing, transportation, customs clearance and procurement, and in managing and supporting staff is a prerequisite for this position.
  • Age: 23 – 45 years
