Job Title: HR Intern (2 Fresh Graduate Job Opportunities)

About SolarNow:
To tackle this, SolarNow sells quality solar products and suitable appliances ranging from small household systems capable of powering a lights, radio, phone, TV and/or fridge to much larger systems suitable for offices, schools and machinery. Increasingly SolarNow is also catering to the needs of off-grid farmers by providing irrigation solutions and other agricultural appliances. SolarNow provides credit and service that allows customers to spread payments over 24 months and receive service for 5 years. The company has over 1,000 employees and a network of 50 branches in Uganda and 15 branches in Western Kenya. There are concrete plans to expand within and beyond these territories.
Key Duties and Responsibilities:
Recruitment
- You prepare and design job adverts for vacant positions within SolarNow in line with set procedures.
- You receive applications and conduct a thorough screening then present shortlisted candidates to line managers for interviews.
- You administer aptitude tests to shortlisted candidates, mark them and recommend successful candidates for interviews.
- You prepare selection files and standardized interview questionnaire and schedule interviews
- You conduct preliminary interviews for entry level jobs to determine their fit with SolarNow.
- You assist in the preparation of induction programmes for new hires/ employees in liaison with desk managers
- You provide appointment letters, contracts of employment and hiring forms are provided to new employees and signed before filing.
Human Resource Management Information System
- You create an efficient HR record keeping system and ensure that the information is consistent in all employee files to maintain a confidential atmosphere.
- You open and populate employee files and ensure that all employee documentation is on files
- You create employee accounts in SAS, request creation and activation of SAS logins and emails for new employees and input all the necessary information including creating employee contracts and all the relevant information. You update all changes in SAS such as transfers, promotions, deactivation of terminated and resigned employees.
- You provide payroll input to bookkeeper including new employee, terminated employees information, deductions, benefits, salary changes, etc.
- You administer the benefits system for all employees.
- You attend to human resource related queries and refer employees to the relevant sources for assistance.
- You collect, collate and verify the leave requests before recording leave in SAS, monitor leave balances for staff and conduct leave audits upon termination of service for the relevant employee.
Leave Management and administration
- You update employees on leave policy by sending out emails and daily sensitization about the leave policy whenever issues arise about leave.
- You send out leave requests to all employees through their desk Managers/ supervisors at the beginning of every year in line with the leave policy.
- You compile a leave calendar and share with all desk Managers to align their staff.
- You receive, record and reschedule leave requests both annual and emergency (bereavement, day-offs,) leave requests.
- You send out leave reminders and outstanding leave days to all employees through their desk Managers/ supervisors.
- You compile a leave management compliance report and share with the HR Manager at the end of every year.
Performance Management
- You provide support in managing all departmental performance related issues
- You create a performance management schedule for all departments in liaison with departmental Managers.
- You monitor the implementation of performance management system and provide feedback on the progress the HR Manager.
- You manage the revision of employees’ employment contracts based on set performance metrics in collaboration with departmental Managers.
- You review and update job descriptions and key performance indicators for all departments in liaison with departmental Managers/Directors.
- You facilitate performance hearings for all departments for poor performers and provide guidance to Managers on way forward.
- You advise MT through the HR Manager and desk Managers on issues regarding and arising from performance and service improvement and training required for employees to improve performance.
- You manage the performance appraisals by updating the appraisal forms and sharing them with all departmental Managers.
- You prepare and submit weekly and monthly reports to the HR Manager.
Knowledge Management
- You ensure that company manuals are updated in liaison with relevant departmental Managers.
- You continuously train and update employees on all company policies and procedures and provide counseling on policies and procedures.
- You champion the implementation of personal development plans (PDP) for all employees in collaboration with departmental managers
- You support the development and implementation of HR initiatives and systems
- You create and implement effective on boarding plans.
- You facilitate the implementation of disciplinary and grievance policies.
- You review employment working conditions to ensure legal compliance.
Employee Welfare
- You work closely with the HR Manager in providing advice on best practices on employee welfare matters
- You advise on employment relations and welfare, staff remuneration and benefits administration
- You advise on development of good and reliable grievance procedures/ mechanisms and planning and attending grievance meetings
- You advise on all important welfare including medical schemes, statutory requirements and related issues e.g. NSSF, OSHA, ESG e.t.c.
- You plan and coordinate welfare activities like sporting events, employee birthday, festivals, end of year parties, burial arrangements.
- You manage the exit procedure of terminated and resigned employees and provide counseling to them.
Qualifications, Skills and Experience:
The applicants for the Solarnow HR Intern jobs should at least hold a Degree in Human Resource Management from recognized institutions
