Job Title: Executive Assistant to the Corporation Secretary

About US:
The National Social Security Fund (NSSF) is a Provident Fund mandated to provide social security to its members as prescribed by law under CAP 222 (Laws of Uganda) through efficient management of members’ contributions. The NSSF asset base is currently over Ugx. 9.8 trillion, making the Fund one of the largest players in Uganda’s economy.
Job Summary: The Executive Assistant will be responsible for assisting the Corporation Secretary to coordinate and follow up the various Department activities, and other activities as may be delegated from time to time. The position will also be responsible for the Corporation Secretary’s general office management.
Key Duties and Responsibilities:
- Schedule and coordinate Department, Section and any other delegated meetings.
- Prepare meeting minutes, extract and circulate actions therefrom, and track their implementation;.
- Compile information materials/packages, and where required, initiate presentations and other briefs.
- Assist in monitoring the observance of the agreed Department leave and training plans
- Conduct research as may be required
- Ensure the smooth and efficient functioning of the Corporation Secretary’s office.
- Monitor and coordinate personnel and logistical matters as applicable.
- Efficiently coordinate and manage the Corporation Secretary’s schedule.
- Facilitate the flow of timely and accurate information between the Corporation Secretary and other functions/stakeholders within and outside the Fund.
- Receive visitors and manage calls/inquiries with tact and discretion.
- Ensure the safe custody of all information in the Corporation Secretary’s office, in liaison with the Board Administrator.
- Any other duty as may be assigned
Qualifications, Skills and Experience:
- The ideal candidate for the National Social Security Fund (NSSF) Executive Assistant job placement must hold a degree in Office and Information Management or Secretarial Studies or in a related discipline
- A diploma in Law will be an added advantage.
- A minimum of three years of experience performing a similar role or duties, preferably in a government organization, parastatal, large commercial organization or a busy corporate law practice.
- Demonstrated knowledge of the different mandates of a typical Legal and Board Affairs Department
- Good oral and written skills.
- Ability to multi-task.
- Solution oriented.
- Value driven (integrity, team player, dependable)
