Job Summary: The Executive Assistant (EA) will support and enhance the Executive’s effectiveness by providing information for management support and representing the Executive Director(ED) where required.
Key Duties and Responsibilities:
- The incumbent also represents the ED by attending meetings in the Executive Director’s absence.
- The Executive Assistant must act as the ED’s first point of contact with people from both inside and outside the organization.
- The jobholder prepares and submits reports by collecting and analyzing information. Secures information by completing database backups.
- Maintains professional and technical knowledge by establishing organization data base for organizational networks.
- The jobholder also maintains ED’s appointment schedule by planning and scheduling meetings, conferences and travel that the ED has to attend.
- Briefing the ED on the agenda before every meeting, taking notes and Minutes for meetings.
- Welcomes guests and customers by greeting them, in person or on the telephone, answering or directing inquiries. Replying to all the correspondences that come to the ED’s office on time.
- Maintains confidence and protects operations by keeping information confidential.
- Significantly contributes to team effort by accomplishing related results as needed.
- Perform any other duties assigned to the Executive Assistant by the ED or designate.
Qualifications, Skills and Experience:
- The ideal candidate should hold a University degree in any of the following; Business administration, Secretarial studies or relevant University education.
- At least five years’ experience in a similar position
- Excellent writing, communications and diplomatic skills
- Strong presentation, planning, Time Management, Organization and coordination skills.
- Skill in maintaining professional internal and external relationships.
- Excellent analytical skills
- Keen attention to detail, ability to follow procedures, meet deadlines and work independently and cooperatively with team members.
- Skills in preparing reports, inventory management, Records management, travel logistics / scheduling.
- Broad knowledge and understanding of Administration, general Office practice and Office security management
- Computer literacy skills i.e. Microsoft word, Microsoft excel and Microsoft power point and Microsoft access, web content management and internet communication technologies are MUST.
- Fluency in written and spoken English.
- The applicant should be a self- starter and willing to work long hours where necessary
