About US:

The MRC/UVRI Uganda Virus Research Unit on AIDS was established following a request in 1988 from the Uganda Government to the British Government for collaboration on the research of HIV (Human Immunodeficiency Virus) infection and AIDS (Acquired Immunodeficiency. The Unit is a center of excellence in HIV/AIDS related research. It conducts large-scale epidemiological and intervention studies, clinical trials, virological and immunological research and behavioural studies, and has generated a wealth of research results that have been used to inform policy and practice that have led to a large number of scientific publications in peer reviewed journals over time.

Job Summary:  The Administrative Assistant will provide overall support for the smooth running of the ICC/MET project activities

Key Duties and Responsibilities: 

  • Ensures timely allocation of facilities including transport for project use
  • Ensuring availability of petty cash for project refunds and reconciling it with the Project Administrator.
  • Tracks all project procurements for items and supplies, confirms receipt in liaison with the Procurement Officer.
  • Manages project stores and reconciles supplies balances at every end of month with the Project lead.
  • Responsible for all project related travels and works with concerned individuals to ensure timely arrangements for bookings and facilitation.
  • Ensures all project assets are tagged and securely kept and reconciles list quarterly together with the project lead.
  • Ensures all project expenses meet available financial and accounting procedures and accounts for all project expenses in a timely manner.
  • Ensures a healthy communication between the project and the Entebbe and Mengo station administrations for all requests and suggestions.
  • Helps with the planning and preparation for all project training initiatives.
  • Represent the project in the station Management meetings
  • Supervises the Office Attendant (where available) while ensuring optimum performance and annual evaluation
  • Responsible for Project staff welfare in consultation with the project lead supports orientation of new staff on the project in liaison with the project lead

Qualifications, Skills and Experience:

  • The applicant for the Medical Research Council (MRC) UK / UVRI Administrative Assistant job placement must hold a Bachelor’s degree in degree in Business Administration or a related field with an additional qualification in Procurement and supply chain management.
  • Basic accounting knowledge is an added advantage.
  • One year of experience working in a large international or research organization supporting project implementation.
  • Should have knowledge of using Navision ERP
  • Must have people, financial and logistical management skills
  • Must have good computer skills.
