Job Summary: The Administrator, Administrative services will support the Bank to achieve its mission of stimulating a consistent expansion of and diversification of African trade so as to rapidly increase Africa’s share of global trade.
Key Duties and Responsibilities:
- Workflow coordination and communication – Coordinate workflow and communication as needed among branch staff, headquarters and other external parties including Bank clients and outside service contractors.
- Business Development Support: Research resource materials / compile data, draft, edit, proofread, desktop publish, revise, finalize, disseminate branch correspondences, memorandum, documents, publications, presentations, reports, term sheets, standard holding letters for facilities applications, proposals, and other required materials
- Records and Filing system – Implement and maintain a branch standardized filing, indexing, archiving and document management system for both hard copies and electronic records for all business related files in accordance with the Bank’s records management policies and procedures.
- Petty Cash Account – Diligently manage the Bank’s petty cash accounts and cash floats in accordance with the Bank’s policies and procedures, including, anticipating cash needs, making timely replenishment requests, managing disbursement.
- Travel Administration Services – Coordinate travel activity for branch staff and delegations in accordance with the Bank’s travel policy.
- Events Management Services – Coordinate logistics of branch on-site and off-site events, meetings, conferences, road shows, business promotion events, cocktails, lunches, dinners.
- Protocol Services – Process and renew diplomatic and international organization identity cards, residence permits, long-stay visas, airport passes, driving permits and any other required permits or documents for branch international staff and their dependants as per the laid down rules and regulations.
- Visas – Process entry visas from different embassies for the branch staff, their dependants and in-coming Bank delegations.
- Administrative Services Support – Deputize the Associate, Administrative Services in the provision of a range of administrative services.
- Resource Centre – Set up and maintain a branch library in liaison with HQ Knowledge.
Qualifications, Skills and Experience:
- The applicant must hold a Bachelor’s Degree
- A minimum of 3 years working experience in a similar role
- Demonstrable organizational and planning skills
- Demonstrable proficiency in English
- Ability to communicate and function in a culturally diverse and change-oriented setting
- Innovativeness, resourcefulness and ability to learn quickly
- Strong problem-solving skills
- Excellent written and oral communication skills in English.
- Excellent computer skills in MS Word, Powerpoint and Excel.
- Excellent Time keeping skills and ability to put in extra hours as may be required.
- Excellent customer service skills and willingness to devote extra time to work where required.
- Ability to work under minimum supervision and to multi-task.
- High level of integrity and confidentiality.
- Report writing skills
