Job Summary: The Senior Human Resources Associate is responsible for on boarding of new hires, human resource information management, leave management, supports with recruitment, and provides administrative HR support. S/he is aware of and adheres to human resources-related laws and regulations and with MSH’s Procurement Integrity standards. S/he handles information and documents relevant to human resources with a high degree of confidentiality, discretion, and attention to detail.
Key Duties and Responsibilities:
- Leads recruitment of junior positions and Short Term Technical Assistance (STTA) and provides support for higher level roles in accordance with the recruitment standard and lead times, and regularly updating the hiring managers about the progress through the relevant recruitment trackers.
- Leads the on boarding process ensuring that, all new hires receive the new staff information pack before they report to work, have completed the on boarding documentation and monitors the on boarding progress.
- Responsible for HRIS management by processing employment actions in the appropriate HRIS system when changes are made to an employee’s status, updating the HR database and payroll and sending appropriate communications to the employees.
- Manage the staff personnel files to ensure up to date and accurate information. Routinely file documents and ensure files are complete at all times. Regular audit of personal files.
- Responsible for management of all MSH Uganda leave records ensuring that all leave requests are authorized by supervisors, verified and accurately captured in the leave database. During the payroll processing period, verify leave information on time sheets to ensure accuracy. Share leave information with staff on a weekly basis.
- Ensures employee medical insurance information is accurate prior to payment and works with insurance providers to address staff insurance related issues.
- Coordinates the process for separating employees including the preparation of letters confirming last date of employment, providing the accompanying benefits information and supporting the clearance process.
- Participates in HRM meetings and works with HRM team members and other MSH staff to identify ways to streamline work flow.
- Support the creation of a safe and healthy work environment through organizing appropriate activities.
- Provides general HR support including monitoring of employee contracts dates, processing letters, schedule meetings and other logistics as required.
Qualifications, Skills and Experience:
- The ideal candidate must hold a Bachelor’s degree in human resources or equivalent combination of education and experience preferred. Minimum of 3 years related experience.
- Previous experience and knowledge of basic human resources practices and regulations.
- Demonstrated strong ability to handle human resources information and documents with high degree of confidentiality, discretion, and good judgment.
- Previous work experience in a culturally and linguistically diverse environment preferred.
- Ability to work independently and follow-through on recurring requests and projects as assigned.
- Demonstrated intermediate computer skills in Microsoft Office Suite applications, including Word, Excel, PowerPoint, and Outlook.
- Maturity and ability to work as part of a team, handle a variety of tasks and priorities in a time-sensitive environment with a sense of urgency; able to meet competing deadlines simultaneously and effectively.
- Demonstrated ability to interact professionally and effectively with staff at all levels both internationally and domestically.
- Thorough understanding of the importance of paying attention to detail in administrative work.
- English fluency required
