About US:

Multi Community Based Development Initiative (MUCOBADI) a local NGO founded in 2000 by Community Development Volunteers to bring development, but in particular to support people living with HIV to be productive. MUCOBADI is registered as a Non-Government Organization (S.5914/7569) and is incorporated as a company limited by Guarantee.

About Project:

MUCOBADI is an Implementing Partner of the USAID/Improving Care and Resilience for Children and Youth Activity (USAID/ICARE) in East Central Uganda whose goal is to prevent new HIV infections and reduce vulnerability among OVC and Adolescent Girls and Young Women. The expected results for the project include; Strengthened and sustained identification, retention and viral suppression of children and adolescents with HIV, along with caregivers, Improved health and prospects and reduced risk of violence and HIV for highly vulnerable adolescents and Strengthened prevention and response to violence against children and youth.

Job Summary:  The Administrative Assistant works to portray a professional image of MUCOBADI to all visitors by receiving visitors and perform clerical functions of the organization in line with MUCOBADI rules and regulations.

 

Key Duties and Responsibilities:  

Front office management:

  • Maintain the reception area in a clean and tidy manner, attend to walk in visitors and notify pertinent members of staff.
  • Maintain visitor’s registry book and direct visitors to the respective offices
  • Provide requested information, take messages or re-direct inquiries to appropriate offices.
  • Keep a databank of contact addresses of all associates(partners, stakeholders, donors,) to MUCOBADI
  • File and keep up to date records of correspondences
  • Maintain a consistent stock of organizational brochures and other IEC materials and a routine form for distribution

Clerical support:

  • Assist in preparation of meetings and produce and file records of the proceedings.
  • Receive and attend to all visitors in a courteous and professional manner.
  • Provide secretarial support to the functional offices i.e. ED, COP, HOP and HRM.
  • Stores management:
  • Provide support in carrying out and developing where necessary, administrative systems, logistics and records management.
  • Ensure good maintenance of assets and equipment records.
  • Ensure security, custody and good use of organizational assets by ensuring proper use of control tools like logbooks, keys, vehicles/motorcycles requests and stores reports.
  • Analyze and coordinate logistical requirements, supplies and equipment orders for the organization
  • Maintain and keep tidy and clean conditions of office environment, furniture and machines.

Qualifications, Skills and Experience:

  • The applicant must hold a University degree in secretarial studies or any other related field
  • Additional qualification in customer care is an added advantage
  • Strong organizational skills Computer literate with hands on MS Office programs, especially in MS Word and MS PowerPoint
  • A demonstrated ability to multi-task and process information into action so as not to delay processes
  • Should have excellent interpersonal skills
