Grindrod Logistics Africa Uganda seeks to recruit skilled, experienced, and motivated technical team to work in Kampala and Buliisa to maintain their contracted equipment throughout the region.

Job Summary:   The Asset & Inventory Clerk is responsible for managing the company’s assets, with a specific focus on fleet management using the approved providers IVMS (3D Services) and Fleet Maintenance System (Fleetio). This role ensures accurate asset records and maintains compliance with organizational policies and procedures. The position requires strong attention to detail, excellent organizational skills, and the ability to collaborate with various stakeholders.

 

Key Duties and Responsibilities:

Fleet Management using Fleetio:

  • Maintain accurate and up-to-date records of all fleet assets, including vehicle details, maintenance history, and registration information.
  • Maintain accurate and up to date records of all spares and parts purchased for the fleet.
  • Collaborate with T&M Administrator to schedule routine maintenance, repairs, and inspections for the fleet.
  • Regulate the issuance and receival of spares and parts purchased for the fleet.
  • Monitor stock levels of spares and parts as per fleet requirements and request for purchase when levels are below minimum safety stock defined.
  • Generate reports and feedback as required by stakeholders.

Asset Tracking using 3D Services (Wialon):

  • Utilize 3D Services platform for asset tracking and management.
  • Track asset lifecycle, including acquisitions, deployments, transfers, disposals, and retirements.
  • Collaborate with relevant departments to ensure accurate asset data, including asset tagging and documentation.
  • Monitor asset movements, fuel consumption, driver performance through the system.
  • Generate reports and feedback as required by stakeholders.

Reporting and Analysis:

  • Prepare and present reports to management, highlighting key findings of asset costs with drastic increases highlighted.
  • Prepare and present weekly reports that indicate damages across the fleet with severity and cost analysis.
  • Prepare and present weekly reports that indicate status of stock level spares and parts

Compliance and Documentation:

  • Ensure compliance with regulatory requirements, such as vehicle registration, insurance, licensing and third party inspections.
  •   Maintain accurate documentation for all assets, including titles, insurances, leases, warranties, and service contracts.
  • Maintain accurate documentation for all spares and parts, including material request forms, delivery notes, inventory, and stock cards.
  • Collaborate with legal and finance departments to ensure asset-related contracts and agreements are properly managed and renewed.
  • Assist in insurance claims related to fleet assets, providing necessary documentation and information.

Cross-Functional Collaboration:

  •    Provide guidance and training to employees on asset management processes, including asset utilization, documentation compliance and maintenance responsibilities.
  •   Foster strong relationships with external vendors, such as maintenance providers and suppliers, to ensure quality service and cost-effective solutions.

 

Qualifications, Skills and Experience:

  • Bachelor’s degree in business administration, logistics, statistics, computing, or a related field (or equivalent work experience).
  • Proven experience in fleet management, asset tracking, or a similar role.
  • Experience in fleet management software.
  • Familiarity with Wialon or similar asset tracking systems.
  • Familiarity with inventory management.

 

Knowledge, Skills & Competences

  • Strong analytical and problem-solving skills.
  • Excellent organizational and time management abilities.
  • Attention to detail and accuracy in record-keeping.
  • Strong written and verbal communication skills.
  • Ability to work independently and collaboratively in a team environment.
  • Knowledge of regulatory requirements related to fleet management and asset tracking is a plus.
