Job Summary: The Project Coordinator will support and work closely with the Policy Manager and the Project Manager to coordinate day to day operations of the Project. In support of the Program Manager Democratic Governance, and the International Project Manager, the Project Coordinator will have a significant role in coordinating and ensuring that the delivery of the project is in line with the objectives; ensuring project systems are set up and maintained appropriately; representing the project externally with partners, consortia members, external stakeholders as required. The project coordinator will be charged with ensuring effective project implementation and ensure adherence and compliance with contractual requirements to all EC Rules and Regulations.
Key Duties and Responsibilities:
Coordinate project implementation
- Provide Leadership in the planning, implementation, monitoring and reporting on the performance of the project in accordance with the donor guidelines and procedure
- In close cooperation with the Manager Policy Advocacy and Campaigns ensure timely implementation of the project activities
- Contribute to monitoring and documentation of project with IASL unit for learning
- Organise project planning, reflection and learning events and steering committee meetings
- Ensure proper filling of project documents for reference
- Ensure development and updating of project support documents including RACI Matrix, risk matrix and project communication strategy
- Create and sustain positive working relationships with the government, line ministries, CSO partners, associates and other key stakeholders
- Convene quarterly project committee meetings
Undertake project Financial Management and Reporting
- Ensure that the project work plan and expenditure conform to the project budget and remains within agreed limits.
- Coordinate AAU and national level inception/launch workshops to ensure that all are familiar with the project’s objectives, activities and compliance requirements.
- Compile, manage and monitor a risk register for the project.
- Compile and submit quarterly and annual program and financial variance reports to management and donors
- Coordinate planning of the policy, advocacy and campaigns agenda for the project at local and national levels in line with the AGA project as well as CSP mission priorities, AAI/U strategies and global campaign processes.
- Identify and develop links and partnerships between AAU and other actors for broader influence and engagement with the government, to promote democratic policy-making and implementation in line with the AGA and ACDEG
- Act as a Spokesperson for the project including engaging with media as agreed with the Manager Policy Advocacy and Campaigns
- With support from the Communication Officer and Manager Policy Advocacy and Campaigns ensure the development of a communication strategy, tool kits and message synthesis for mobilisation, and other communications assets for use in advocacy-focused events.
- Develop advocacy and campaign messages on Democracy, Elections and Good governance in liaison with the communications officer.
- Develop and periodically update the advocacy and campaigns risk matrix on Democracy, Elections and Good governance
- Contribute to regular and frequent public commentary on media and social media spaces on key advocacy discourses.
- Represent the organisation in engagement with key regional stakeholders including governance institutions and civil society networks to ensure support for the project as required.
- Ensure the coordinated implementation of the communication plan in close cooperation with Communication Officer and Manager Policy Advocacy and Campaigns ensuring that co-applicants and other stakeholders are kept informed of progress and key issues.
- Coordinate the implementation and monitoring of the policy, advocacy and campaign’s agenda on Democracy, Elections and Good governance in line with ALPS, M&E frameworks and guidelines.
- Support program staff and partners in the implementation of the campaign and advocacy agenda on Democracy, Elections and Good governance
- Develop campaigns’ monitoring and evaluation plans and frameworks for the project in liaison with the IASL unit
- Prepare and share progress reports on Democracy, Elections and Good governance advocacy and campaigns activities.
- Collect, compile and share baseline data on elections and good governance campaign in line with AAU M&E framework.
- Organize, document and share outcomes from quarterly reviews and reflection project meetings.
- Document and share advocacy and campaign results and learning in line with Communication strategy and other AAU/AAI related guidelines.
- Coordinate research and development of alternative models for policy influencing and shared learning on land and tax.
- Contribute to shaping of AAU’s research, advocacy and campaigns priorities on elections, democracy and good governance.
- Identify, review and share periodic updates on the trends of issues for advocacy and campaign’s on Democracy, elections and good governance
- Scan and regularly update staff, partners and other CSOs on the emerging policy issues on Democracy, elections and good governance that need program attention.
- Identify and establish relationships with credible research institutions for collaboration in research, and knowledge generation to inform policy, campaigns and advocacy work on Democracy, Elections and Good Governance
- Develop policy briefs, papers, and think pieces on relevant policy areas for policy influencing and to inform AAU/I and CSOs positions on advocacy and campaigns on Democracy, Elections and Good Governance at all levels
- Develop and update the research, advocacy and campaign knowledge matrix on Democracy, Elections and Good Governance
- Ensure complete researches are uploaded for storage and easy retrieval and utilization.
- Coordinate the documentation, innovation and packaging of AGA project advocacy and campaign results, impact and learning in line with Communication strategy and other AAU/I related guidelines.
- Guide the planning and development of Democracy, Elections and Good Governance campaign documentation.
- Periodically contribute to media, newsletters, articles and magazines with content from AAU advocacy and campaign interventions.
- Roll out Democracy, Elections and Good Governance campaign monitoring and evaluation strategies in liaison with Impact assessment and Shared learning unit and
- Work with the Thematic and Cluster Coordinators to develop innovative interventions to promote the advocacy and campaign messages on Democracy, Elections and Good Governance
- Coordinate the development of organizational position/policy papers and statements on key pertinent issues for media, legislators and other stakeholders on Democracy, Elections and Good Governance
- Disseminate and influence uptake of organizational positions on Democracy, Elections and Good Governance at all levels.
- Coordinate AGA project as well as AAU’s participation in strategic networks, alliances and other relevant spaces for policy advocacy, campaigns in line with AAU/AAI guidelines and frameworks
- Periodically map and share formal and informal networks and coalitions to work with in AGA project as well as AAU’s broader advocacy and Campaigns work
- Contribute to the capacity enhancement of networks, alliances and coalitions on Democracy, Elections and Good Governance in line with AAU/AAI capacity development guidelines.
- Identify new and strategic partnerships for networking and collaboration on Democracy, Elections and Good Governance policy advocacy and campaign’s work
- Build and develop a data base of individuals, networks and of activists on Democracy, Elections and Good Governance for movement building
- Provide feedback and monitor the implementation of agreed actions from networks and coalitions
- Organize and participate in strategic actions and events within AAI federation, civil society, and citizen formations at the different levels
- Support in the identification, prioritization and planning for resource mobilization in line with the AAU/AAI Fundraising Strategy and donor policies and guidelines.
- Identify funding gaps, prioritize and lead the development of innovative concepts for resource mobilization on Democracy, Elections and Good Governance.
- Participate and contribute to the development of funding concepts and proposals on Democracy, Elections and Good Governance
Qualifications, Skills and Experience:
- The applicant for the ActionAid Project Coordinator – African Governance Architecture job placement must hold a Bachelor’s degree in law, Political Science, Human rights, or any other related field from a recognized institution.
- A relevant post graduate qualification will be an added advantage
