Key Duties and Responsibilities:
- Provide support to the ‘Delivering the Bull’s eye’ unit in coordinating and monitoring relevant business processes and activities, and ensuring that they adhere to UNFPA quality standards and meet the deadlines.
- Support the Unit staff in organizing office documents including filing and dissemination of information (soft and hard copies).
- Maintain filing system for UNFPA-supported Projects in accordance with established classification system
- Support the Unit in identifying office requirements and making procurement requests.
- Assist the Unit staff in ensuring timely completion of administrative documents/reports including the timesheets and trip reports.
- Support the Unit staff in scanning, photocopying, printing and binding of relevant documents as required.
- Periodically update the lists of implementing partners and update the IPs on relevant information.
- Assist the technical team to follow-up on timely submission of key documents from implementing partners including the work plans and programme reports.
- Compile and maintain records documents and control plans for the monitoring of project/programme implementation.
- Keep the Unit staff informed of any administrative issues by providing relevant information, reports or status updates.
- Organize meetings; Initiate and coordinate preparation of agenda and necessary documentation for meetings, as well as workshops and conferences; and act as Secretary to the meetings.
- Draft routine correspondences.
- Perform other support duties as required
Qualifications, Skills and Experience:
- The ideal candidate for the United Nations UNFPA Programme Assistant job opportunity should have completed Secondary Education. First level university degree or equivalent professional qualifications desirable.
- Five years of relevant experience in administration, finance or office management.
- Fluency in English.
