Job Summary: The Donor Relations and Reporting Officer will work under the supervision of the Donor Relations and Reporting Specialist and overall guidance of the Chief of Planning, Monitoring, Evaluation and Donor Relations. The Donor Relations and Reporting officer will also work with other team members of the PMEDR section and coordinate with other sections as necessary.
Key Duties and Responsibilities:
- Support the development and maintenance of the Unit’s ECM pages;
- Monitor the report schedule and keep track of reports due dates that are not in Fiori and advise sections of reporting due dates;
- Review reports and finalise for final clearance by Donor Relations and Reporting Specialist before submission to the donors;
- Upload all the reports submitted to the donors in Fiori system and in ECM;
- Log new proposals and opportunities in UNISON and ensure these are updated regularly.
- Draft grant creations and amendments in Service Gateway ensuring all supporting documents are attached;
- Update the internal pipeline tracker and ensure it aligns with records in UNISON
- Support the Donor Relations Specialist in setting up donor briefing meetings and ensure meetings are minuted
- Support the Donor Relations Specialist in preparation of donor briefs for donor meetings
- Support the development of ‘evergreen’ concept notes/pitch documents for long term resource mobilisation;
- Support the Donor Relations Specialist in proposals reviews and developing quality proposals
- Support the Donor Relations Specialist on relevant tasks related to resource mobilisation and reporting as assigned.
Key Results/Expected Outputs:
- ECM pages maintained and updated with final version of reports and RM documents;
- UNISON and internal tracker updated on a weekly basis
- Donor briefs drafted compiled and
- Minutes of donor briefing meetings completed within 48 hours of the meeting
- Report schedule monitored daily to keep track of reports due dates that are not in Fiori
- All donor reports uploaded in Fiori before of by the donor deadline
- Support to drafting and reviewing of donor proposals, concept notes and reports
- New grants and/or amendments created in Service Gateway with all supporting documents.
- Support the Donor Relations Specialist in preparation of donor briefs for donor meetings
Qualifications, Skills and Experience:
- The ideal applicant must hold a Master degree or equivalent in Marketing, Communication, Business Management, Development Studies or similar field of work.
- Candidate must be a national or legal resident of the country of assignment.
- At least three years of experience in development and emergency assistance environment, preferably including programme management, communication and resource mobilization, two of which should be in developing countries.
- English, Level: Fluent, Required
- Age 27 – 80 years
