The Famine Early Warning Systems Network (FEWS NET), funded by the United States Agency for International Development (USAID), is a leading global provider of objective, evidence-based food security information and analysis. Created in 1985 in response to famines in East and West Africa, the project provides global coverage with a mix of presence and remote monitoring countries. The FEWS NET implementing team includes NASA, NOAA, USGS, USDA, Kimetrica, and Chemonics International, the last of which manages the Washington-based technical office and more than 20 field offices.
Job Summary: The Administrative Assistant serves as a member of the administrative support team on the FEWS NET project. Job responsibilities concentrate on supporting the office manager and national technical manager to facilitate the administrative and financial operations of the FEWS NET office and, in the absence of the office manager, providing financial and clerical support services.
Key Duties and Responsibilities:
Office Management
- Provide secretarial and word processing services.
- Maintain field office files to ensure that all correspondence and documents are properly copied and filed in accordance with the filing system.
- Ensure the preparation, receipt, distribution and filing of all incoming and outgoing written project communications such as the daily email and pouch log.
- Maintain tracking systems such as inventory, procurement, publications, action memos and approvals
- Act as receptionist.
- Perform out of office errands as necessary.
- Perform other tasks as assigned by either the supervisor or the home office project management unit.
- In the absence of the FEWS NET office manager:
Accounting & Finance
- Support the FEWS activity in performing financial management and reporting functions.
- Input all financial data into the company’s financial accounting system.
- Prepare and submit to the home office the financial reports monthly, including files for local currency and US dollar, and the bank reconciliations.
- Manage the office petty cash.
- Collect and process staff monthly time sheets.
- Track sick and annual leave accrual for all local employees.
- Prepare payroll for all local staff.
- Issue checks to vendors and landlords and make other disbursements for the office.
- Maintain accounting and financial records for the office that are compliant with USAID, Uganda Government, and Chemonics International Inc. regulations.
- Review and process local expense reports.
- Coordinate the submission of monthly wire transfer requests to the home-office.
- Monitor expenditures in the field.
