Reports to: General Manager and Director of Finance

About US:

Q-Sourcing Limited is a manpower management solutions firm operating in the East African Region in the countries of Uganda, Kenya, Rwanda and South Sudan. They are recruiting for a valuable client, a 5 Star hotel.

Job Summary:  The Purchasing Manager will get guidance from General Manager and Director of Finance to ensure that required essential goods are purchased for the Hotel, on timely basis, ensuring that Quality, Cost  and Standards are in accordance and compliance to the Company Purchasing policies and  Code of Conduct. He/she ensures preparation of Purchase Orders and obtaining approval for all items prior to purchase and by applying technical skills contributes towards  maintaining favourable cash flow in line within agreed Financial Forecasts. Ensure that at least three written Quotations are attached to Purchase Requests for non-food items

Key Duties and Responsibilities: 

  • Conduct Purchasing meeting at least once a month and find solutions for operational problems
  • When Purchase Requests are approved, open the Purchase Orders in the computer system, print them and forward them for Director of Finance and General Managers’ signature
  • Ensure that delivery time/schedule are communicated with Receiver and suppliers
  • Conduct as much communications as possible with suppliers via phone in order to obtain the best possible competitive rate for the ‘I buy” in accordance and compliance with the company Policies and Code of Conduct.
  • Ensure timely and accurate liaison with relevant heads of departments over matters affecting both departmental activities and resolve them
  • Ensure delegation to subordinates and train them to standards as specified in their job  description
  • Ensure that “Performance Appraisal” is run timely and efficiently for all concerned employees
  • Maintain good business relationship with the suppliers, customs, clearing agents,
  • Department Heads and other related staff members as per the company Code of Conduct
  • To be fully aware of all clauses of the company code of conduct, and be able to explain it to the purchasing staff.
  • To be aware of the local customs and importation laws and regulations.
  • Good rapport is developed with all other hotel staff.
  • Prevention of damage and abuse to all FF&E items and reporting of any repair or maintenance requirements to the engineering department immediately.

Qualifications, Skills and Experience: 

  • The ideal candidate must hold a Bachelor’s Degree in procurement and supply chain management, Business Administration, Finance or related area
  • Any professional qualification in CIPS is added advantage
  • Four to six years of directly related experience
  • Budget Management experience
  • Vast experience in Hotel purchases and operational needs
  • Competencies, knowledge and skills
  • Computer skills (preferably in ERP purchasing application such as IHMS, Plan swift, SAP etc.
  • Demonstrate proficiency in Microsoft Office Suite applications
  • Functional/Technical skills (understands labour, materials, and the construction process)
  • Possess problem solving and negotiating skills
  • Results oriented with timely decision-making ability

  • Interact and communicate with individuals at all levels of the organization requiring excellent verbal and written communication skills
