Uganda Printing and Publishing Corporation (UPPC) is a body corporate established by the UPPC Act 1992 Cap.30 as a leading Government printer mandated to provide printing and publishing facilities to the government ministries, departments, and parastatal bodies .private companies, individuals and organizations. The corporation prints and publishes all government legislation and documents and undertakes security printing works.
Job Summary: The Executive Assistant will provide effective and confidential administrative and secretarial support to the office of the Managing Director
Key Duties and Responsibilities:
- To relieve the Managing Director of administrative detail on all coordinating work flow and carrying out delegated tasks to ensure effective performance of the MDs office.
- Draft correspondence and memoranda forthe Managing Director.
- Receive and disseminate correspondences, mails and other information for the office;
- Organize meetings, writing minutes and circulating decisions to the relevant action offices;
- Coordinate board and management meetings in liaison with Legal Department and Administration Department.
- Identify important events that require participation of the MD, make and follow up on appointments, bookings and schedules and reschedules meetings for Managing Director.
- Maintaining office cleanliness and orderliness;
- Managing and accounting for office equipment, materials and imprest; and
- Supervising activities of the lower support staff in the MD’s office.
- Perform any other duties as may be assigned by the supervisor.
Qualifications, Skills and Experience:
- The ideal candidate should preferably hold a Bachelor’s Degree in Secretarial Studies or Public Relations, or Public Administration, or Office Management from a recognised University/ Institution.
- Five years of experience in a similar/related position in a reputable organisation.
- Excellent minute taking skills.
- Strong written and verbal communication skills.
- Exceptional word processing and Microsoft office skills
- Sound time management skills.
- Highly effective project management skills.
- Highly effective ability to participate in meetings and events at all levels of the organization.
- Ability to effectively develop and maintain various data management systems.
