Job Title: Project Associate – Pulse Lab Kampala

Key Duties and Responsibilities:
General Administration and events management
- General office management, including cleaning services and the procurement, maintenance, security and repair of office equipment;
- Support with protocol matters and travel arrangements (i.e. airline tickets, visas, hotels, daily subsistence allowance);
- Assist in the preparation of various materials and other reports; handle arrangement for printing and translation as necessary; coordinate shipment arrangements, courier services, etc.
- Provides support to the office with logistical arrangements related to training/workshops/conferences etc., through engaging with facilitators, caterers and hosts and identifying the most cost-efficient meeting venue options;
- Manage petty cash.
Procurement
- Create transactions in the ERP system including requisitions, payment voucher, purchase orders, staff travel requests, and follow up on related documentations for transactions;
- Support procurement process including assisting in preliminary evaluation, receipt of goods and services;
- Ensuring timely payment of vendors including following up with UNDP and vendors for invoices and other necessary documentation.
HR Services and Contract Administration
- Perform general office support and administrative functions (e.g., recording personnel leave and attendance, travel requests, contracts preparation, supporting visa applications, etc.);
- Respond to or draft routine correspondences and other communications;
- Provide administrative and logistic support to field missions;
- Ensure proper documentation and filing (both paper and electronic).
- Property management, office equipment, vehicles
- Supports procurement/management of administrative supplies, office equipment and vehicles. Maintains inventory of office items;
- Establishes an office supplies monitoring system. Ensures that services and maintenance of premises and equipment are in accordance with organizational standards;
- Monitors and arrange for vehicle transportation, regular vehicle maintenance and insurance
- Checks and record of vehicle daily log and fuel consumption;
- Liaise with premises owner with regards to servicing/repairs of facilities.
Programme
- Supports the implementation of project activities;
- Supports the communication and advocacy efforts;
- Supports the implementation of research initiatives.
- Other activities in support of Track 1 and Track 2 implementation as required
Qualifications, Skills and Experience:
- The ideal applicant for the United Nations UNDP Project Associate – Pulse Lab Kampala job placement should hold a Bachelor’s Degree in Business Administration, Public Administration, Procurement or related.
- At least five years of experience in project support functions, with focus on procurement and administration in either public or private sector organizations;
- Working experience under UN system, government and other NGOs is a plus;
- Good planning and organizing skills;
- Good understanding of MS Office, ERP.
- Qualifying years of experience are calculated following the receipt of the first level university degree recognized by the United Nations.
- Fluency in both written and spoken English.
