Job Summary: The Depot Operations Manager will ensure that depot operations processes are done in accordance with specific procedures for Lower Kampala depot, Upper Kampala Depot, Mbale Depot and Entebbe Aviation Depot.
Key Duties and Responsibilities:
- Ensuring that operating procedures for each key activities are in place, followed and are regularly updated to reflect any policy or operational changes.
- Agreeing tasks with sub-ordinates staff, training, providing resources, supervising and appraising for performance against plans.
- Ensure that the depot activities fully support marketing efforts by ensuring that there is continuous and timely despatch and receipt of product.
- The Depot Manager is charged with seeing to it that risks to the operation are regularly identified, quantified and remedied and that business in the depots is carried out at all times in a manner that is acceptably safe.
- The responsibility to ensure that product loss is within control lies primarily with the Depot Manager who monitors losses on daily basis, prepares formal reports, deduces likely problems and effects immediate remediation.
- Ensuring that the operating expenses for the Depots are reviewed at least once every month and any significant departures from the budget plan are appropriately addressed.
- Ensure compliance to additivation process seeing to it that facility safety and technical audits are done bi-annually for all Depots (Kampala, Tankfarm, Mbale, Entebbe) and the key outstanding issues therefrom are advised to Engineering for action.
- Innovatively proposing and following up implementation of methods that will make operations cheaper, safer and faster. This includes especially the bridger discharge and delivery truck filling activities.
- Acting as asset custodian and ensuring that Company assets in the Depots are kept securely and affordably maintained in a manner that will ensure they are preserved and serve satisfactorily over their expected lifetime of useful service.
- Ensuring that product measurement at receipt, storage and issue is done in compliance with both Company and National legal requirements, including carrying out annual calibration of supply bridgers, bi-annual calibration of loading meters and annual calibration of secondary distribution vehicles.
- Ensuring accounts for utility providers are managed to ensure continuity of services (phones, power supply and water).
- Ensure aviation operations comply with the company aviation assurance policy in all aspects.
- Liaise and corporate with the VE aviation central to obtain and implement effectively the VE aviation assurance policy and changes that occur from time to time in the company.
- Ensure on- time fuel deliveries to contracted airlines and general aviation customers
- Participate fully in the Sales-led Aviation Tenders to present operational excellence as a competitive edge and ensure smooth communications across these interfaces with Customers.
- Provide effective operations interface between the company, EJAF JV,URA, Airport Authorities and other stakeholders
- Offer leadership in ensuring quality customer service to customers and resolution of any complaints.
- Participate fully in the Sales-led Aviation Tenders to present operational excellence as a competitive edge and ensure smooth communications across these interfaces with Customers.
- Ensure the correct functioning of the VEU HSSE-MS, including timely closeout of all Remedial Action Plans.
- Offer HSSE leadership (including HSSE meetings/communications, inspections, Supervisor-Operator Conversations, incident and potential incident reporting, drills and emergency response.
Qualifications, Skills and Experience:
- The applicant must hold a Bachelor’s Degree in Engineering or related field
- At least five years of experience in depot operations at a Managerial level.
- Strong interpersonal skills and ability to relate with people at all levels within and outside the department.
- Ability to manage self in the face of flexible work demands
- Manage people of varying calibers with different expectations.
- Experience in managing contracts maintenance
