Job Summary: The Law Clerk will provide clerical/administrative support to the legal department to enable the smooth running of operations.
Key Duties and Responsibilities:
Register legal documents and securities pledged by clients.
- Receive and verify all securities offered, loan documentation from branches and enter them in the relevant department register.
- Arrange securities to be delivered to the registries obtain assessments and pay bank fees.
- Draft affidavits where service has been effected.
- Serve legal documents and other correspondences.
- Participate in the searching and verification of land titles and log books.
- Conduct company searches.
- Requisition and payment of searches.
- Transmission of concluded searches information to the branches.
Create and maintain departmental registers.
- Enter the details of securities and other information in the register.
- File the documents.
- Maintain proper filing cabins for all staff loans/advance and file all documents every time staff takes up loan or advance.
Maintain the advocates’ diaries, fix court cases, file and serve documents as appropriate.
- Fix hearing dates of Pride’s cases in court.
- Update Pride court files and advocate diaries.
- Open files for court cases and enter them in department register.
- Deliver court documents for filing in the relevant court and serve them to the intended persons or organisations.
- Swear and file an affidavit to prove service of a document and update department register.
Obtain approval of chambers for the legal department from the Law Council to ensure compliance with the regulatory provisions.
- Ascertain all fees payable and process payments.
- Deliver applications and receipts to the Law Council for filing.
- Follow up on certificates of authorisation.
Obtain practicing certificates for bank advocates from the high court in order to maintain regulatory compliance for advocates.
- Compute all the fees payable, raise vouchers and pay relevant fees.
- Deliver advocates applications for practicing advocates with necessary receipts for filing at the High Court.
- Requisition of title registration fees and actual title submission to the lands office.
- Carry out caveat assessments at URA liaising with section to pick up payment slips.
- Verify the daily sample of both mortgage and caveats before sending to finance and treasury for payment and printing.
Key Performance Indicators:
- Timely registration of all legal documents and securities.
- Up-to-date registers in the department.
- Timely delivery of legal documents for stamp duty.
- Up-to-date internal register for all the bank’s legal documents.
- Up-to-date diary for the advocates.
Qualifications, Skills and Experience:
- The ideal candidate for the Law Clerk job placement should preferably hold a Diploma in law. (Lawyers are advised not to apply)
- A post graduate qualification is an added advantage.
- Process server certificate from the High court.
- A minimum of one year of working experience preferably in a law firm or financial institution.
- Age: Below 35 years.
