InterAid Uganda Limited (IAU) is a non-governmental humanitarian national organization established in 1988, and duly registered with the NGO Board and NGO Forum. IAU is actively involved in programs geared towards the protection and improvement of lives of disadvantaged people living in urban and rural areas in Uganda and in the Great Lakes Region. InterAid Uganda is focused on its thematic areas of Rights Protection, Education, Livelihood & Food Security, Health (HIV&AIDS; Malaria; Maternal and Reproductive Health), Water, Sanitation & Hygiene (WASH), Environment and Disaster Management and good Management and Governance systems.

Job Summary: The Procurement Assistant will provide support in the day to day activities of the procurement Unit to ensure efficiency and effectiveness.

Key Duties and Responsibilities:

Stakeholder Management:

  • Build and maintain good supplier relationship.
  • Follow up Supplier payments
  • Enforcement of Procurement procedures on Internal Customers
  • Verify Proforma Invoice figures and authorized signatories and coordinate with Internal Customers
  • Ensure customer satisfaction internally and externally through ensuring effective and efficient procurement processes.
  • Receive and summarize quotations from suppliers.
  • Verify deliveries with the user department and stores

Procurement process and Disposal Management:

  • Procurement of Goods And Services
  • Summarise quotations from suppliers and attach relevant documents
  • Ensure implementation of procurement policies and procedures to ensure the standardisation and transparency of the procurement function

Procurement Reporting:

  • Implement procurement policies, procedures, and action plans across the organization.
  • Maintains records on purchase requisitions made
  • Prepare monthly and quarterly procurement reports and submit to the Procurement Officer

Procurement Administration:

  • Receives, records and files purchase requisitions
  • Filling of all procurement documents

Disposal of Assets:

  • Manage the organisation’s assets that are ready for disposal.
  • Participate in receiving and opening bids for asset disposals

Tender Process management

  • Receives, stamps and records’ bids and ensure safety of the bids
  • Organize pre-bid meetings with interested vendors and user departments to ensure complete understanding of bid requirements, scope of work, and responsibilities

Risk Management:

  • Continuously assess risks inherent in the procurement process
  • Continuously assess risks inherent in the goods and services procured by the Organization

Compliance: Ensure procurement policy compliance.

Qualifications, Skills and Experience:

  • The ideal candidate for the InterAid Uganda Limited (IAU) Procurement Assistant job opportunity should preferably hold a Bachelor’s degree  in Procurement & Supply Chain Management, Commerce, Business Administration or related course from a recognized institution
  • Two years’ experience in a similar role
  • Ability to operate under minimum supervision
