About US Embassy:

The United States Embassy in Kampala, Uganda has enjoyed diplomatic relations with Uganda for over 30 years.  Ambassador Natalie E. Brown currently heads the U.S Mission to Uganda.  The Mission is composed of several offices and organizations all working under the auspices of the Embassy and at the direction of the Ambassador.

Among the offices operating under the U.S Mission to Uganda are:

  • United States Agency for International Development (USAID)
  • Centers for Disease Control (CDC)
  • Peace Corps

 

Job Summary: The Telephone Operator (Switchboard Operator/Receptionist) serves as a Switch Board Operator in the IRM Section to manage incoming calls to the embassy, transfer calls when necessary and assist in updating the telephone directory. The Switch Board Operator reports to the Switch board Supervisor.

 

Key Duties and Responsibilities:

Switch Board Operations: 90% of time                                                                          

  • Operate the switch board. This entails receiving calls from both outside callers and embassy extensions, redirecting calls to the intended recipients. Placing calls for Mission personnel who do not have access to outgoing lines, while recording them to identify official or personal calls in order to track any personal use of long distance calls for billing purposes.
  • Answering telephone call inquiries where possible, especially for those in need of consular services. This requires operator to question the caller about the nature of the call and determine where the caller needs to be sent. In addition to this, can provide general embassy information such as relevant website addresses, information and directories.
  • Coordinate conference rooms booking for meetings / workshops by using the online calendar to send out confirmations as well as write conference room notices to be posted outside the conference rooms.
  • Back up in updating the Mission Phone Directory list, both the online Mission directory in Sharepoint and soft copies for distribution via email.

Mail Distribution: 10% of time

  • Distribute mail and packages, in the absence of the Mail Room Clerks.

Qualifications, Skills and Experience:

NOTE:  All applicants must address each selection criterion detailed below with specific and comprehensive information supporting each item.

  • The applicants for the United States US Embassy Telephone Operator (Switchboard Operator/Receptionist) job should have completed secondary School (O & A Level). Required.
  • A minimum of two years of experience working as a receptionist, call center, customer service or office administration experience is required.
  • Knowledge of clerical procedures, and proficient computer skills is required.
  • One year of experience with Microsoft Office is required.
  • The jobholder must be able to consistently provide excellent customer service to callers.
  • Skills And Abilities: Basic keyboard skills; computer skills with Microsoft Office, and internet browsers is required; ability to deal with the public and speak clearly and effectively is required; ability to expertly run the telephone switchboard and maintain a calm demeanor when interacting with the public is required. This may be tested.
  • Language: Level III Good Working Knowledge (speaking/reading/writing) of English is required. This may be tested.
