Job Summary: The HR Operations Specialist is mainly responsible for the operational day to day duties. On a daily basis, you will be assisting HR Head and employees with HR activities and compliance.
Key Duties and Responsibilities:
- Ensures admin processes are running smoothly
- Ensures admin requests are treated according to agreed SLAs
- Responsible for receiving all the hiring documents of the new hires.
- Responsible for making the new employees sign their contracts and social forms.
- Responsible for the on-boarding/off-boarding employees on system and their emails as well.
- Work cross functionally with different departments to insure a smooth on-boarding for new employees.
- Responsible for issuing finger prints of the new employees
- Assists in the recruitment process
- Make sure that all employees have received their medical insurance and premium cards.
- Make sure that all employees have opened bank accounts. And followup on the new ones.
- Assist in the preparations of the orientation\ awareness and training sessions.
- Own and manage process execution of work/residence permits for all international employees
- Maintain the database and employee files
- Develop forms and processes for all employee-related requests/actions
- Define the policies, e.g. handbooks, disciplinary policy in line with Jumia standards and tone of voice
- In charge of the administration & communication of all company benefits, e.g health and life insurance.
- Support the Human Resources Business Partners in identifying business challenges using data analysis to help influence changes in operations, processes or programs.
- Support the Human Resources Business Partners in investigations, counselling sessions and terminations.
- Follow up on end of probations
- Follow up on contract renewals
Qualifications, Skills and Experience:
- The applicant must hold a Bachelor’s degree in business administration, Human Resources or related field
- At least four years of experience
- Approachable and responsive, able to connect with employees at all levels
- Supportive team player with a strong drive to create a positive work environment
- Applies solid judgment ensuring integrity, compliance & confidentiality
- Strong interest in innovative HR solutions and process improvement
- Understanding of HR concepts and principles
- Detailed-oriented with excellent organizational & documentation skills
- Excellent knowledge of English (verbal and written) is required; strong communication skills are critical
- Thorough working knowledge of MS Office, e.g. solid and sound Excel knowledge (Pivot, VLook up etc..)
