The UN World Food Programme (WFP) is the United Nations front line agency against world hunger. It is the largest and longest serving humanitarian agency in Uganda. Currently WFP focuses on three priority areas: Saving lives in Emergencies; Building Resilience through Predictable Safety Nets; Improving Nutrition & Mother-and Child Health; and Supporting Small Holder Farmers to Access Markets. WFP has operations in various parts of the Country.
Job Summary: The Business Support Assistant (Human Resource) is expected to take responsibility for the completion of a full range of HR activities requiring some interpretation of standard guidelines and practices. He/She is able to recommend a course of action within their area of expertise and may provide guidance to other staff.
Key Duties and Responsibilities:
- To perform a range of HR tasks to support accurate implementation of WFP policies and procedures and facilitate the effective functioning of a client-focused and strategy-oriented HR services
- Provide support on general HR queries and follow up actions, to ensure consistent and high-quality HR services.
- Support administrative effectiveness concerning recruitment and staff induction of assigned group of workforces.
- Provide revision and proof-reading services for standard documents, to contribute to the development of accurate documentation.
- Respond to queries and escalate where appropriate, in order to provide a timely and accurate service to clients.
- Facilitate protocol and administrative coordination to support assigned workshop and meetings.
- Manage and maintain records and databases, to ensure information is organized and readily available for staff;
- Use HR management systems for entering and updating a variety of HR data including assistance in monitoring various deadlines (e.g. contract expiration, PACE, etc.),
- Support staff deployment and related administrative actions to facilitate efficient HR service enabling WFP to respond quickly to emergences.
- Extract and compile HR data on staff recruitment and selection, contractual conditions, entitlements, performance and training requirements, to support analysis and reporting needs.
Qualifications, Skills and Experience:
- The ideal applicant must hold a University degree in Human Resources management, Business Administration, Social Sciences or any other related field obtained from a recognised education institution;
- At least four years of progressively responsible work experience in any of the following fields: Human Resources Management, Administration, Secretarial duties or any other related field acquired from a reputable organisation;
- Ability to develop and maintain relationships with a range of individuals in order to provide a high quality support service;
- Good command of both written & oral English is essential;
- Knowledge and experience using in using MS Office applications
- Ability to maintain confidentiality is a MUST
