Its vision is to excel as a professional body in the development of the legal profession and promotion of justice in Uganda. Its mission is to improve the professional standards of members of the legal profession and to promote human rights and the rule of law, by assisting the government and the judiciary in the administration and practice of law in Uganda. Through its Legal Aid Project, the Society is seeking qualified and experienced individuals to fill the following positions at its Legal Aid Offices in Luwero, Moyo, Moroto, Arua and Kotido districts.
Key Duties and Responsibilities:
- Assisting in the Preparation and implementation of work plans and budgets for the Legal Aid clinics together with Legal Officers.
- Producing reports of meetings and workshops at the clinic
- Scheduling appointments and follow up assignments for the Legal Officers.
- Ensuring proper records management within the Legal Aid clinics to guarantee safety of clients’ documentation and well as those meant for the effective clinic administration.
- Attending to incoming and outgoing telephone calls but also ensure all visitors are promptly attended to within the confines of customer care.
- Managing the procurement function of the clinic and ensure that all procurements are done in line with established guidelines
- Assisting the Legal Officer in the management of the Human resources function of the clinic in liaison with the Office Administrator at head office while ensuring the confidential maintenance of all staff records
- Registering and allocation of correspondences to relevant staff.
- Ensuring proper accountability of the funds allocated to the legal aid clinics, including petty cash.
- Implementing established policies and regulations that ensure the safety and proper custody of monies and other assets of ULS/LAP as well as those received on behalf of clients.
Key Result Areas:
- The Administrative Assistant will be tasked with the preparation and implementation of work plans and budgets for the Legal Aid clinics together with Legal Officers
- Appointments and follow up assignments for the Legal Officers scheduled
- Proper records management within the Legal Aid clinics to guarantee safety of clients’ documentation as well as those meant for the effective clinic administration kept;
- Ensure all incoming and outgoing telephone calls attended to
- Ensure that all visitors promptly attended to within the confines of customer care.
- Procurement function of the clinic managed and according to the established guidelines;
- Management of the Human resources function of the clinic in liaison with the legal officer
- Proper maintenance of all staff records at the clinic
- Registration and allocation of correspondences to relevant staff ensured
- Proper accountability of the funds allocated to the legal aid clinics, including petty cash kept and sent to the head office in time
- Established policies and regulations that ensure the safety and proper custody of monies and other assets of ULS/LAP as well as those received on behalf of clients implemented
Qualifications, Skills and Experience:
- The Administrative Assistant should at least possess an honors Bachelor’s Degree in; Business Administration (management option) or an Honors Bachelor’s Degree in the field of social sciences such as; Public Administration or social work and social Administration or Development studies or secretarial studies.
- Hold a certificate in Administrative law will be an added advantage
- Possession of a post graduate diploma in the field of management is desirable
- Any relevant working experience preferably in the field of administration or management from a reputable organization at least for a period of two (2) years
