FIG Consult Limited is recruiting for its client. The Bakery currently produces a range of high quality baked goods including cakes, bread, pastries, cookies and desserts.
Job Summary: The Bakery Operations Manager will ensure a tight control environment, adherence to quality standards, compliance and customer service
Key Duties and Responsibilities:
Finance and Administration:
Company policies, procedures, manuals, compliance and quality standards:
- To develop and continually update policies, procedures and standards for quality, customer service, hygiene, health & safety, statutory and regulatory compliance.
- To train all staff, and run periodic refresher courses on company policies and procedures, embedding a strong quality, control and risk management culture among staff.
Control environment: To enforce a strict control environment which ensures that the company policies are complied with, and company’s resources are safeguarded through:
- Tight controls over the procurement process including who procures, which suppliers, which brands, expiry dates; – effective supply chain management to ensure no stockouts
- Ensure value-for-money and efficiency in procurement
- Strong controls over inventory management from goods inwards, to storage, issuance, record-keeping, usage and output, periodic stock takes, procurement requisitions
- Strict monitoring of production losses, stock recalls -tight controls over cash handling, café reconciliations
- Accurate record keeping on assets and small equipment registers, physical asset verification at least twice a year.
- Effective maintenance cycle to ensure fixed assets are kept in good working condition – to audit products made and validate to production schedule and production slip
ERP System:
- Effective setup, supervision, updating of the POS ERP system.
- Ensure access rights are correctly defined.
- Continuous training of users on the system.
- Continuous engagement with the vendor to maximise value out of the system. Ensure prices and SKUs are correct and up to date in the system.
Reporting: To prepare / review daily, weekly and monthly reconciliation reports as required including: daily sales pipeline (via Café team); – daily inventory position (via Stores Clerk); – café control reports – sales, cash, closing stock, product recalls
- Bring in sales of at least 600,000 per month
Customer Service:
- To drive a highly customer-centric culture throughout the team,
- To maintain excellent customer relationships through effective communication and delivery of high quality products, on time, to meet or exceed the customer’s expectations.
- To positively interact with customers and create a memorable customer experience
- To effectively handle correct and timely dispatch of customer orders.
- To promptly address any customer complaints and put measures in place to avoid repeat of incidents that may lead to customer complaints
Quality
- To define and drive quality standards in all aspects of the business, and continuously reinforce these to staff.
- To drive a high quality, “right-first-time” culture in the team.
Risk Management and compliance: to proactively manage the company’s risks by ensuring compliance with internal and external polices and regulations including, but not limited to: – tax compliance – UNBS – KCCA
Teamwork
- To effectively manage the staff cycle from recruitment, development, performance management, and exits for the Café and Admin units. To lead by example with a culture of customer-first,”right-first-time”, with high quality, collaboration and self-motivation, open, transaparent and effective communication
- To promptly and effectively manage any issues that may affect the team’s performance. To be a highly effectively member of the Admin team, and effectively deputise the Managing Director,
- To effectively manage the team on a day to day basis including work scheduling, leave, training, and work-life balance.
- Communication: To provide prompt, clear, unambiguous and effective communication to all stakeholders, using the appropriate channel(s); Respond clearly and promptly to messages; provide proactive updates and feedback
Integrity
- To drive a culture of high integrity throughout the Company and ensure that any breaches of integrity are promptly and effectively addressed.
- To promptly report (whistle blow) incidents of integrity breach in any area of the business
- To drive compliance with Company policies and code of conduct, and ensure that staff are fully aware of the zero-tolerance policy on breaches of integrity.
Innovation
- To continually develop and grow through research, development, and a continous improvement mindset to deliver tangible improvements in company operations
- Project Management: to spearhead and run internal projects efficiently and effective, the first of which is Uganda Bureau of Standards certification
Qualifications, Skills and Experience:
- The applicant must hold a Diploma or higher qualification in a business, management, or administration discipline
- Three years of relevant work experience, 2 years of which have involved supervising others
- Experience of compliance with statutory authorities;
- Experience in the preparation of reports
- Ability to use MS Office, in particular Word and Excel;
- Experience of using an ERP / Accounting system.
- Excellent communicator, able to lead and motivate others, and develop strong relationships, give and receive honest feedback
- A self-starting, practical problem solver able to think on their feet
- Highly analytical and numerate, able to crystallise data into information for decision making A strong control orientation, able to firmly enforce policies and standards and drive a high compliance culture
- High levels of personal effectiveness with superb organisational, time management, planning and prioritisation skills
