About TAC:

The Total Alumni Club (TAC) is an association that seeks to create a well networked and consistently engaged community of former and current Total employees. The TAC brings together former and current employees of Total in Uganda in order to strengthen and create value out of the bond born out of Total.

Job Summary:  The Administrative Assistant is responsible for the day to day running of the affairs of the Total Alumni Club, as well as executing the annual action plan. Direct responsibilities include organizing meetings and club events as well as maintaining the member database; The Administrative Assistant reports directly to the designated representative of the Alumni Club executive committee, and interacts with the members of the Alumni Club and the Total Management Representative.

Key Duties and Responsibilities: 

  • Manage the day to day activities of the Total Alumni Club, including disseminating written or electronic correspondences, and maintaining documents
  • Prepare reports and presentations to the Executive committee members
  • Follow-up and implement action items as agreed by the executive committee.
  • Prepare and coordinate all Total Alumni Club meetings,
  • Maintain and annually update the Total Alumni Club Database;
  • Coordinate execution of the work plan as agreed upon by the executive committee

Qualifications, Skills and Experience: 

  • The ideal candidate must hold a Bachelor’s Degree in a business related field (minimum).
  • One year of working experience in a busy commercial environment in an administration support role.
  • Able to use a computer; knowledge in database management shall be an added advantage
  • Good communication skills, both written and verbal,
  • Must be self-driven and able to take initiative
