Job Title: Admin Coordinator for Emergency Medical Service

Malteser International is an international non-governmental aid agency for humanitarian aid of the Sovereign Military Order of Malta, founded in 2005 by Malteser Germany (founded in 1953). The relief service has more than 50 years of experience in humanitarian relief and currently covers around 100 projects in about 20 countries in Africa, Asia and the Americas. Malteser International has been working in Uganda since 1996, with projects in several regions of the country.
Key Duties and Responsibilities:
- Planning and organizing project activities of Malteser International to the objectives, indicators, work plans and approved budgets (e.g. workshops with key stakeholders)
- Following up, updating, and readjusting project work and time plans together with the technical, administration and logistics staff
- Assist the EMS Task Force Members/MoH in developing and achieving their project plans
- Follow up on any actions, quickly address any difficulties, and escalate issues to the Malteser International SMT where necessary
- Responsible for regular and timely project progress documentation/reports
- Ensure efficient and effective administrative systems are in line with the projects objectives
- Facilitate effective project development, planning and implementation laura
- Represent the project in meetings and other fora with external stakeholders
- Establish and maintain effective working relationships with internal and external contacts.
- Ensure that the working relationship between the EMS Task Force and its key stakeholders are positive and constructive.
- Assist the EMS Task Force Members in developing and achieving their project plans
- Manage project plans, reviewing the plans regularly to ensure tasks and milestones are achieved in a timely manner.
- Produce a work/project plan and provide monthly reports on agreed Key Performance Indicators for each function
- Proactively maintain a current awareness of the project activities and status.
- Take active part in the project issues/risk management process, by contributing to the identification and prioritization of existing and potential issues and risks, and help to develop mitigating strategies and controls.
- Use sound judgment to identify which issues and risks should be escalated and prepare relevant reports/documentation.
- Follow up on any actions, quickly address any difficulties, and escalated issues to the Malteser International SMT wherever necessary.
Qualifications, Skills and Experience:
- The ideal candidate for the Maltesar International Admin Coordinator for Emergency Medical Service must hold a Bachelor’s Degree in Social Sciences, Project Management, Public Administration or other relevant field.
- A Master’s Degree highly desirable in any of the above disciplines
- Three to five years of experience supporting Project Managers in the delivery of development projects
- Knowledge of Health Care Systems, Governmental structures
- Effective communication skills including verbal, written and presentation skills
- Proven ability to work effectively both independently and in a team based environment
- Demonstrated willingness to be flexible and adaptable to changing priorities
- Strong multi-tasking and organizational skills
