Malteser International, the worldwide relief agency of the Order of Malta for humanitarian aid, works in more than 20 countries in Africa, Asia and the Americas for people in need, regardless of their religion, origin or political affiliation. Its mission is to provide emergency relief as well as to implement rehabilitation measures and to facilitate the link between emergency relief and sustainable development. Christian values and the humanitarian principles of impartiality and independence form the basis of its work in the following areas: Relief, Reconstruction & Rehabilitation; Health & Nutrition; Water, Sanitation & Hygiene (WASH); Livelihood & Social Programs and Disaster Risk Reduction.

Key Duties and Responsibilities: The Administrative Assistant supports the Executive Committee of UAP in the following areas:

  • Presence and first point of contact

o        Act as focal point for receiving all visitors, guests and suppliers, ensure they are briefed and attended to

o        Manage office correspondences and maintain a tracking and record keeping system for all incoming and outgoing correspondences

o        Manage the telephone, website and email correspondences and ensure to forward them to the right personnel

  • Membership Management

o        Administration of the Membership Data Base,

o        Registration of new members,

o        Updating of personal details and status of existing members,

o        Collection of membership fees

o        Information sharing and liaison with members.

  • Event Coordination

o        Assist the executive committee in

o        Event planning,

o        Coordination with Partners involved in the event,

o        Invitation Management, Design and Delivery,

o        Support the organization of the event,

o        Accounting of event expenditures

o        Reporting on event and outcomes.

  • Participate in Proposal Development and Donor Reporting (for example research work).
  • Support in logistics procedures and ensure that all documents are filled out according to the procurement regulations.
  • Any other duties as may be assigned

Qualifications, Skills and Experience: 

  • The ideal candidate should preferably hold a diploma in Business Administration, Social works and social administration, development studies. A Bachelor in the mentioned fields is an added advantage.
  • At least three years of relevant experience with a recognized institution/ project
  • Experience in marketing is an added advantage
  • Strong organizational skills; computer literate with hands on MS Office programs, especially in MS Excel.
  • A demonstrated ability to multi-task and process information into action as to not delay program activities
  • Excellent communication and marketing skills
  • Excellent interpersonal relation skills
  • Experience in Project Management is an added advantage
  • Computer literate in basic packages.
  • Knowledge on report writing.
