Infectious Diseases Institute (IDI) is an independently governed institute within the College of Health Sciences at Makerere University and has the mission “To strengthen health systems in Africa, with a strong emphasis on infectious diseases, through research and capacity development.” IDI has operations across Uganda as well as in a number of other African countries and has a staffing of over 1,000 managing multiple projects in research, clinical services, public health and training.

 

Job Summary: The Project administrative Officer will be responsible for handling general administrative tasks, petty cash, procurement of supplies, filling and review of study documentation.

 

Key Duties and Responsibilities:

  • Request for and manage petty cash float including maintenance of a cash book
  • Handle all project procurement requests in the PMIS and follow-up on approvals
  • Manage and maintain the study inventory including study assets and supplies
  • Schedule and organize team meetings
  • Collection, entry and review of study data as required
  • Maintain a proper filling system for study documentation
  • Manage the filling and storage of images/photographs collected for the various studies
  • Archival of study documentation as needed
  • Perform any other study-related duties assigned by Study Coordinators or Principal Investigators.

 

Qualifications, Skills and Experience:

  • The applicant must hold a University Degree in Business Administration (Accounting) or Commerce
  • At least Stage 2 of ACCA or CPA
  • At least three years of experience; ideally in an international NGO financial and administrative project management performing similar duties
  • Experience using the IDI GEMS, PMIS and other management systems is an added advantage
  • GCP training and research experience will be an added advantage.
  • One year of related work experience
  • Excellent written and oral English communication skills
  • Well-developed interpersonal skills and ability to be a good team player
  • Excellent organizational skills, including the ability to prioritize, schedule and manage multiple tasks in a fast-paced, dynamic environment
  • Competence in the use of standard MS Office software, dropbox and redcap
