Job Summary: The Finance and Administration Officer will spearhead the development of financial processes and systems, manage financial reporting, accounts payable, accounts receivable, cash management, inventory management, tax management and budgeting. The position requires strong accounting knowledge, analytical skills, a high level of attention to detail and capability to make decisions and act independently. We are looking for a dynamic, entrepreneurial individual who wants to help build a quickly growing organization working to transform education in Uganda. The role will be based at Teach A Man To Fish – Kampala office. This position will be the initial period of three (3) months with potential renewal thereafter.
Key Duties and Responsibilities:
Operations (Admin, Finance, HR, IT, Safeguarding) – 100%
- Analyze existing policies, procedures and standards to ensure they are effective and efficient in managing risk arising in the Finance and Admin function, and make changes, if necessary.
- Draft contracts and lead on induction process for all new employees and consultants.
- Ensure financial and administration systems are compliant with Teach A Man To Fish and relevant donor policies.
- Provide on-the-job training, coaching and mentorship or formal training and development activities to members of the finance team and—at times—to others in the organisation.
- Manage procurement, manage vendor relationships, and manage and maintain assets and equipment register.
- Maintain accurate invoice tracking and ensure that invoices/cash reconciliations are processed accurately and in a timely manner.
- Review all requests for payments for accuracy, proper supporting documentation and compliance with Teach A Man To Fish established policies and process payments
- Review invoices and implement cheque payment process in line with TAMTF financial policy.
- Participate in staff welfare working group, review requests and make recommendations for staff welfare policy.
- Liaise with accountant for production of AFS and audit
- Lead on compiling and delivery of accurate and timely monthly financial reports to UK finance team and donors as requested.
- Lead on carrying out monthly cash, credit card and bank reconciliations
- Prepare monthly staff payroll on time, compile and submit NSSF, PAYE and WHT schedules and remit.
- Analyze financial data and develop financial analysis as a key management tool. Translate data into actionable measures that reduce risks, improve efficiency, and reverse negative tendencies.
- Ensure that all TAMTF policies in Uganda are duly implemented and support Country Manager with annual review.
Qualifications, Skills and Experience:
- Bachelor’s Degree in Business Administration (Finance Option), Accounting, Statistics, Commerce, Economics or related field.
- Certified Accountant (ACCA or CPA). Partial CPA with significant experience in NGO or social enterprise setting will suffice.
- At least 3 years’ experience in either an NGO, social enterprise or corporate setting, with significant of responsibility for financial management plus administration and/or HR
- Strong proficiency in QuickBooks
- Proven track record of managing organisational finances in line with controls and policy
- Proven track record of delivering accurate and timely financial reports
- Proven track record of contributing to development of processes, systems and policy framework to guide effective financial management, administration and HR management
- Experience developing and managing contracts
- Excellent written and oral English language abilities are required
- Experience of managing procurement process
- No criminal record (to be evidenced by letter of good conduct from Interpol)
