Organizational Context and Scope
IOM provides a range of services and support to the U.S. Refugee Admissions Program (USRAP) including, but not limited to case processing, migration health assessments, cultural orientation training, organized transportation and arrival to the United States, and administration of a travel loan and collections program. In order to continue to maintain and strengthen the integrity of the USRAP, IOM (in coordination with the donor) is implementing Program Integrity Guidelines across all USRAP activities.
Job Summary: Under the overall management of the Uganda Chief of Mission and the direct supervision of the DRR Project Manager, the Project Assistant will be responsible for providing field based program and administrative support to the day-to-day operations of the Greening Humanitarian Responses Through Recovery, Repair, And Recycling of Solar Products In Camps” project and Emergency Preparedness and Response Unit in Bidibidi Refugee Settlement, Yumbe District. The incumbent will be performing the duties below:
Key Duties and Responsibilities:
Provide support to the E-waste Project and Emergency Preparedness Unit by:
- In coordination with the DRR Project Manager, support the implementation of the day to day field related activities of the “Greening Humanitarian Responses Through Recovery, Repair, And Recycling of Solar Products in Camps” project, including Emergency Preparedness and Response related interventions in Bidibidi Refugee Settlement, Yumbe District.
- Assist in verifying that the program work-plans and budgets are followed and set goals are met within the timeframe, in coordination with the Supervisor.
- Participate in coordination meetings at the district and national levels, in coordination with the Supervisor.
- Report regularly to the DRR Project Manager and IOM HQ ECHO Focal Person on any issues relating to the smooth implementation of the project. This includes drafting of program summaries and reports as may be required.
- Establish and maintain accurate and complete records of all programmatic reports, equipment and supplies received, stored and distributed to implementing partners and project sites.
- Support the DRR PM in the monitoring of the project budget, disbursement and liaise with RMU for timely charging and any reconciliation whenever necessary.
- Liaise with colleagues, including the Public Information officer, Program support Unit and provide support to the promotion of IOM activities in Uganda, including press releases, reporting, website content, and any other related documentation.
- Support in exploring any new project ideas pertaining to DRR/DP and related thematic area
- Undertake duty travels, as necessary.
- Perform any other duty within the incumbent’s capabilities as assigned by the Supervisors.
Qualifications, Skills and Experience:
- The ideal candidate for the International Organization for Migration (IOM) Project Assistant (DRR &WASH) job placement should have completed a Bachelor’s degree social/Political Sciences, International relations, Business administration or a related field from an accredited academic institution with 3 years of relevant professional experience.
OR
- Completed High school diploma from an accredited academic institution, with five (05) years of relevant professional experience.
- Prior experience in project management of emergency project.
- Previous experience under IOM or UN resettlement, repatriation and other similar programmes within refugee setting will be an asset.
- Proficient in computer software: Microsoft Office (Outlook, Words, Excel, power point and Internet Explorer).
- Strong interpersonal and communication skills including influencing, negotiation and coaching
- Ability to work well in an international environment with people from diverse backgrounds and cultures
- High level of computer literacy
- Self-starter who can work independently under pressure.
- Excellent problem -solving skills and eye for detail
- Excellent organization skills;
- Analytical and creative thinking.
- Languages: Fluency in English and working knowledge of other UN languages is an advantage.
